The School of Government & Public Policy in the College of Social and Behavioral Sciences invites applicants for the position of Administrative Support Assistant I. SGPP has an extensive undergraduate student population of over 2000 students in four-degree programs: Political Science, Law, Criminal Justice Studies, and Public Management & Policy. The School also has three master's degrees and a doctoral program.This position will be the sole administrative support personnel to the SGPP Assistant Director, Career Development and Community Engagement under the supervision and direction of the Assistant Director, this position will be responsible for campus and community event support and coordination; management of school alumni database, report preparation as needed in support of program initiatives, calendar and correspondence on behalf of Assistant Director, and creation and dissemination of internal and external digital communication. This position may work in consultation with other School staff regarding financial transactions and human resources tasks, as directed.

Duties & Responsibilities
Administrative Support
- Provides routine administrative
assistance that is guided by prescribed processes and procedures with the
direction of the Assistant Director.
- Receives, directs, and responds
to visitors, telephone calls, and written communication. - Gather and prepare reports
related to student career placements, coordinate the annual calendar,
collaborate with program coordinators to provide data entry for graduate
student internship database. - Organize and maintain files and
record-keeping system. - Provide necessary
administrative support for events (student internships, career opportunity
events, professional development activities, and alumni engagement events) by
scheduling rooms, reserving catering, and preparing materials. - Provide administrative support
to Assistant Director by scheduling and arranging appointments, meetings, and
conferences. - Assemble necessary background
materials for Advisory Board meetings. Make routine travel reservations and
itineraries.
Communications Support - Facilitates general
administrative functions and aids in communication with internal and external
stakeholders for alumni relations. - Participates in committee
meetings and provides assistance at meetings and events in the absence of the
Assistant Director.
Marketing & Outreach Support - Coordinates the scheduling of
social media content in collaboration with department colleagues. - Assists in the dissemination of
digital newsletters, promotional materials, website updates, and advertising
initiatives in coordination with SBS Marketing & Communications. - Offers general administrative
support for outreach activities, including mailings, supply orders, meeting
scheduling, and event assistance. - Additional duties as assigned
Knowledge and Skills - Ability to communicate effectively
with different groups/individuals. - Ability to handle confidential
and sensitive information. - Ability to multitask and
maintain a high level of organizational skills. - Ability to provide timely and
professional correspondence. - Ability to effectively communicate with individuals & organizations with a broad range of viewpoints and backgrounds.
Minimum Qualifications
- High school diploma or equivalent, or equivalent learning attained through experience required.
- Prior work experience not required.
Preferred Qualifications
- Associate or bachelor's degree in management, event planning, communication, or other related fields.
- Minimum of 2 years of related work experience.
