Valley Fire Protection Systems, LLC is seeking an entry-level Administrative Support Specialist to join our dedicated team. This position is vital to ensuring that our operations run smoothly and efficiently. The Administrative Support Specialist will assist in a variety of administrative tasks, providing support to our staff and contributing to the overall productivity of the company.

Job Description:

  • Support all members of our Indiana office.
  • Handle all administrative duties for the office, such as but not limited to, answering phones, scheduling, and plotting job documents.
  • Work with architects and municipalities to obtain project information such as CAD backgrounds and permits.
  • Organize and represent Valley Fire Protection at trade and business events including display booths, materials and giveaways.
  • Schedule visits and correspondence to new and existing customers.
  • Review timesheets and submit to payroll.
  • Coordinate employee activities.
  • Submit engineering projects including document preparation, UPS labels, update job schedules, and copy project submittals to files, finance department, and sales.
  • Assist accounting department with account collections by contacting customers verbally, in writing, and/or in person as assigned.
  • Other miscellaneous duties as required.

Requirements

  • Valid driver’s license with reliable means of transportation a must
  • Previous relevant support work experience
  • Website and Social Media experience
  • Experience with fire sprinkler systems and customer interaction a plus
