JOB DESCRIPTION:

Position Information

The Department of Environmental Services (DES) is seeking a high performing, technically competent, and environmentally-oriented Administrative Technician to join our progressive Solid Waste Bureau (SWB) team. The SWB provides and regulates trash and recycling services to the County's estimated population of 220,000 and is continuously seeking strategies to reduce waste generation to meet the County's Zero Waste goal. The Administrative Technician will work on a team that provides administrative, technology, human resources and performance management support to SWB, along with various programs and the annual Rock and Recycle Event.

Specific duties include:


  • Answering phone calls, managing emails and resolving issues, and providing front desk/walk-in support to a diverse population and the business community, including processing payments from customers for services;
  • Processing and paying bills for the Bureau, creating requisitions and purchase orders, and coordinating credit card form submissions to the credit card manager;
  • Performing timekeeping and payroll duties, which includes entering data into the Countys HRIS system (PRISM), and conducting quality control/auditing;
  • Supporting the seasonal temporary hiring program from application processing to onboarding and training of new hires;
  • Acting as the back-up administrative support for office inventory, management, and other administrative personnel;
  • Coordinating daily and weekly customer service surveys for the residential Solid Waste Programs;
  • Providing data management and analytics support to the Administrative Manager;
  • Creating and managing excel spreadsheets and access databases to record performance metrics in support of the Bureaus performance management program; and
  • Providing administrative support for safety program, including assisting with finance and analytics, and developing and maintaining program processes and procedures to support Administrative Officer.
The successful candidate in this position will be:
  • Technologically savvy, impeccable customer service skills, excellent organizational skills, effective communication skills, with the ability to multi-task, and aid in complaint resolution; and
  • A team-player with the ability to work in a directly related environment and embraces the opportunity to serve across multiple complex programs.

Selection Criteria

Minimum:


  • High School Diploma/equivalent; and
  • Some experience providing administrative support.
Substitution: Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.

Desirable: Preference may be given to candidates with experience in one or more of the following:
  • Providing administrative support across multiple complex programs including customer service in an area supporting a public works, waste management, or a similar environment;
  • Managing, monitoring, and analyzing data using multiple systems, including Microsoft Office, and providing feedback to management;
  • Resolving complex or escalated customer complaints;
  • Using Oracle or similar payment software solutions and/or 311 technology systems; and/or
  • Monitoring and managing time keeping for multiple groups.

Special Requirements



A pre-employment criminal records check will be conducted. It may include checks of the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information. Any offer of employment will be contingent upon successful completion of a background check.
