Our Client in Green Bay is seeking an Administrative/Accounting Assistant. If you are interested in joining a great office team that offers a casual relaxed working environment then apply now!

Administrative/Accounting Assistant Compensation/Benefits
  • 1st shift - 8:00 a.m. - 5:00 p.m., Monday - Friday
  • Pay: $17.50 - $20 or more depending on experience
  • Upon hire will be eligible to participate in their benefits plan including Health, vision, 401k and a lot more.

Administrative/Accounting Assistant Essential Duties and Responsibilities
  • Assist President/General Manager with administrative duties.
  • Attend weekly staff meeting.
  • Act as Board of Directors (BOD) and Shareholder Liaison. This involves preparing BOD and Shareholder meeting materials, setting up and expediting all preparation and meeting logistics, setting up payment information, traveling to meeting, taking meeting minutes, and ensuring all aspects of the meeting run smoothly. Consolidate and ensure corporate meeting minutes are filed appropriately. Process expense reports for the BOD.
  • Purchasing responsibilities to include outside suppliers, office supplies, and DC supplies, ensuring cost effective rates.
  • Data entry for accounting records and running reports
  • Assist with accounts payable and accounts receivable
  • Manage the communication and scheduling of the Vendor Relationship Committee meetings
  • Manage the communication and scheduling of Vision Expo attendees.
  • Manage all areas of the building to ensure everything is in working order and well maintained. Areas of responsibility include heating/cooling maintenance, plumbing, roofing, signage, outside maintenance (i.e., lawn, snow, concrete, asphalt), office cleaning, doors/windows, electrical, flooring, generators, fire extinguishers, pest control, and appliances.
  • Ensure all needed outside contracts are current.
  • Process incoming mail.
  • Other duties as assigned.

Administrative/Accounting Assistant Requirements
  • Ability to maintain high level of confidentiality.
  • Effective written and communication skills.
  • Excellent organizational skills.
  • Advanced knowledge of Microsoft Office software.
  • Basic knowledge of Accounting.
  • Ability to maintain high level of tactfulness and professionalism.
  • Ability to multi-task and shift gears.
  • Ability to establish priorities.

Administrative/Accounting Assistant Education and Experience
  • 5 years of administrative or office management along with some accounting experience preferred OR bachelors degree in business, communication, or management, OR equivalent combination of experience and education.

Administrative/Accounting Assistant Physical Demands
  • While performing the responsibilities of this position, the employee is required to lift no more than 20 pounds, sit for long periods of time, stand, reach with arms and hands, stoop, kneel, crouch, or crawl. Vision abilities required.

Administrative/Accounting Assistant Work Environment
  • While performing the duties of this job, the employee is required to observe safe work practices in the use of equipment. The work environment is in an office that is adequately lit, temperature controlled, and the noise level is usually quiet to moderate. Work may require participation in special events and travel outside of office by air or car.
