JOB DESCRIPTION:

As the Administrative/Grants Assistant with this nonprofit, mission based global foundation, you will be responsible for assisting with grants management, administrative support across a team including scheduling and travel booking and monitoring/gatekeeping of internal requests and inquiries across email accounts. You are a professional with some grants experience from a grant-making organization or have worked in direct grants administration previously. About the Job:

  • Ensure grant documentation is correct, organized and systemized in a new tracking system.
  • Provide support and assistance to the internal grant contacts.
  • Conduct research on missing materials to finalize grant packages; communicate across internal teams on financial records and time stamps of delivery or follow-up procedures.
  • Communicate with internal staff on updates, progress and any questions as they arise to assure the project is moving forward in a timely manner.
  • Update and maintain the new internal database to verify the information is accurate.
  • Schedule appointments and meetings across the team with internal and external players, ensure all calendars are up-to-date and include relevant details and materials.
  • Organize and facilitate travel booking needs across the team, including ground transportation, hotel accommodations and details agendas.
  • Monitor internal email accounts to troubleshoot and distribute incoming requests, be a strong and professional communicator.

About You:

  • Degreed. Bachelors degree required, previous grants experience a plus.
  • Communicator. Demonstrated ability developing good rapport and building relationships all while moving the needle with professional execution.
  • Tech savvy. Strong working knowledge of Microsoft Word, Excel, and PowerPoint is required. You pick up new systems with ease.
  • Supportive. You enjoy taking on challenges and can multitask in order to make sure things run smoothly.
  • Numbers proficient. You are experienced working across spreadsheets, contracts and bookkeeping or accounting, working knowledge of Bill.com is a plus!
