Location: 54943 N Main St, Mattawan, MI 49071 (Onsite)
Duration: 6 Months (Short-Term Project | Possible Extension)

Schedule: Monday Friday, 8:00 AM 4:30 PM (Some overtime possible; may start early at 6:00 AM; some shift flexibility)


Pay Rate: $18/hr. W2 All Inclusive

Dress Code: Casual Office Attire

JOB SUMMARY

The Laboratory Records & Specimen Archives Associate (Archivist Associate) plays a key role in supporting the receipt, login, storage, retrieval, distribution, shipment, disposal, and documentation of materials submitted for archival purposes. This includes study records, biological specimens, and samples. The role requires strong attention to detail, compliance discipline, and the ability to work within validated archival systems to ensure accurate tracking, retention, and regulatory adherence.

KEY RESPONSIBILITIES

  • Receive, log, organize, store, retrieve, distribute, ship, and dispose of archived materials (records, study samples, biological specimens).
  • Perform and document procedures in compliance with SOPs, protocols, methods, data integrity standards, and regulatory requirements.
  • Maintain the integrity and security of archived materials following archive security standards.
  • Assist internal and external stakeholders with requests for both current and finalized study materials.
  • Use the archival management system to index, track, and maintain study materials and records.
  • Review departmental and study-specific documentation for accuracy, completeness, and compliance.
  • Prepare materials for shipment or disposal, including boxing, labeling, and data compilation.
  • Maintain organized filing systems and ensure proper retention and storage of archived records.
  • Work under time-sensitive deadlines while following structured and regulated procedures.
  • Perform other related duties as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS

  • HS Diploma, GED, or Associate's Degree required.
  • 1 2 years of relevant experience preferred (archiving, records management, specimen handling, regulated lab support, or data entry).

SKILLS & COMPETENCIES

  • Strong verbal and written communication skills.
  • Basic proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to learn and work with validated systems or archival platforms.
  • Strong organizational skills and ability to manage multiple tasks.
  • High attention to detail, accuracy, and documentation excellence.
  • Ability to work extended hours (evenings/weekends) as required.
  • Physical ability for light lifting, handling boxes, and prolonged standing/sitting.
  • Ability to wear PPE and meet necessary vision requirements (close, color, depth perception, focus adjustment).
