What You’ll Do

This is a hands-on, multi-hat role where you’ll handle a blend of administrative, financial, and operational support duties. You’ll work directly with our Finance & Admin Director and leadership team to ensure everything behind the scenes runs like clockwork.

Responsibilities include:

• Manage day-to-day office operations and organization

• Handle insurance renewals, COIs, and compliance tracking (auto, general liability, workers comp, etc.)

• Manage DMV and fleet registrations, inspections, and documentation

• Maintain accurate records for company assets, licenses, and insurance policies

• Assist with accounts payable/receivable and ensure bills are coded and paid on time

• Enter and reconcile transactions in QuickBooks Online

• Track job-related costs and assist with weekly cash flow reports

• Manage credit card statements, vendor accounts, and reimbursements

• Support HR compliance and maintain employee documentation

• Handle office supplies, mail, and vendor coordination

• Provide administrative support to leadership and assist other departments as needed

What We’re Looking For

• 2+ years experience in office administration or bookkeeping (construction industry a plus)

• Proficiency in QuickBooks Online, Google Workspace, and general CRM tools

• Strong organizational and time-management skills

• Detail-oriented, trustworthy, and proactive in solving problems

• Excellent communication and follow-up skills

• Valid driver’s license with a clean record

• Ability to pass a background and drug test

Requirements

Compensation & Benefits

$50,000 – $68,000 base salary (depending on experience)

Full-time schedule (Mon–Fri, 40 hours)

Paid time off and holidays
