About the Role
The Program Assistant plays a critical role in providing administrative and logistic support to program leadership, to the teams programmatic sustainability work, external partnership activities, and organizational assigned duties. In the role, the Program Assistant manages multiple calendars spanning multiple time zones, is responsible for scheduling meetings involving both internal and external parties, manages team travel arrangements, provides administrative support to the program budget manager, and is responsible for tracking and reporting progress towards program goals. We seek an organized, highly motivated, skilled self-starter to advance the work of Ceres mission and values. This position reports to the Program Director and does not have any direct reports.

This role is a full-time position that may work remotely or in either the Boston, MA office or San Francisco, CA office. Candidates must be flexible to work with employees in all US time zones.

Specific duties include but are not limited to the following:
  • Provide administrative and logistical support to the Senior Program Director by:
    • acting as a primary point of contact,
    • prioritizing phone calls, correspondence, and meeting requests,
    • managing calendars/schedules, and
    • ensuring follow-through of specific activities and projects to completion.
  • Support the Senior Director in setting agendas for weekly team meetings, taking and disseminating meeting notes, and ensuring appropriate follow-up.
  • Attend internal and external meetings, as requested, to take notes, identify next steps, and ensure follow-through of activities to completion.
  • Working in concert with the Senior Director and project leads, assist in development and management of team planning, goal setting, and impact tracking.
  • With guidance of the Senior Director and project leads, support coordination, logistics, and management of team retreats.
  • Assist team in roll out and distribution activities of key reports and special projects.
  • Provide event and development activity support for the Senior Director, including conducting research, drafting speaking points and/or presentations, and attending meetings as needed.
  • Assist with planning, coordination, and logistics for Ceres annual conference, Investor Summit, and other organization-wide events.
  • Book travel, schedule meetings, and draft trip itineraries for the Senior Director.
  • Process the Senior Directors expense reports, reimbursements, and other finance-related administrative duties.
  • Support engagements with Ceres Company Network members and special projects as needed.
  • Travel to meetings and events as required.
  • Other tasks as assigned.
Qualifications
  • Bachelors degree or commensurate experience required.
  • One (1) year of full-time related work experience required; sustainability-related work experience preferred.
  • Outstanding organizational, time management and administrative skills. Experience as an assistant to a senior executive, a plus.
  • Sound judgment, sensitivity to diverse constituencies, excellent interpersonal skills, strong initiative, motivation, and problem-solving capabilities.
  • Ability to organize and execute multiple projects with keen attention to detail.
  • Highly developed communication skills, both written and verbal.
  • Ability to work both independently and as part of a team.
  • Desire to work in a fast-paced environment.
  • Proficient with Microsoft Word, PowerPoint, Excel, Google Docs, and e-mail computer applications.
  • Knowledge of CRM systems like Salesforce.
  • Knowledge of, or experience with, sustainability issues, particularly understanding of the role of business, the investment community, and/or NGOs, a plus.
  • Interest in being part of a diverse workforce and willingness to support Ceres Commitment to Inclusion and Equity.
  • Willingness to travel as needed.
Compensation and Benefits
The hiring salary is $48,750 - $51,000 with competitive benefits.
