Our client is seeking their next Assistant Controller to support their Investor Services. The Assistant Controller – Investor Services is responsible for the review and control of investor onboarding, subscription documentation, and investor data management for private equity funds. This role serves as a key control point within investor services, ensuring that all investor records, legal documentation, and CRM data are accurate, complete, and aligned with fund governing documents and regulatory requirements. The position requires strong attention to detail, experience with investor onboarding processes, and ownership of investor data integrity across systems.
Investor Onboarding & Subscription Document Review
Review investor subscription documents for completeness, accuracy, and compliance with fund governing documents (LPA, side letters, subscription agreements)
Validate investor eligibility, commitment amounts, fee terms, and structural details
Ensure consistency between subscription documents, investor representations, and internal records
Coordinate with Investor Relations, Legal, and Compliance teams to resolve discrepancies or missing information
Track and manage onboarding status, ensuring all required documentation is received, reviewed, and approved prior to closing
CRM Ownership & Investor Data Management
Own and maintain the firm’s CRM system (e.g., Backstop) for all investor-related data
Update CRM with investor information, commitments, contacts, structures, and onboarding status in a timely and accurate manner
Ensure alignment between CRM, subscription documents, and other internal systems
Establish and enforce data standards, controls, and best practices for CRM usage
Perform regular data reconciliations and quality checks to ensure integrity and consistency across systems
Support reporting and data extraction from CRM for internal stakeholders and client deliverables
Investor Records & Controls
Maintain official investor records, including commitment schedules, contact details, and legal documentation
Ensure proper version control and document management for all investor materials
Oversee investor entity setups, including tracking ownership structures and related parties
Ensure investor data is accurately reflected across platforms and consistent with executed agreements
Coordination & Stakeholder Management
Partner with Investor Relations, Legal, Compliance, and Operations teams to support investor onboarding and data accuracy
Act as a point of escalation for investor data, onboarding issues, and documentation discrepancies
Provide guidance to junior team members or administrators on documentation standards and CRM processes
Support continuous improvement of onboarding workflows, controls, and data governance processes
Audit, Compliance & Governance
Support audit and regulatory processes related to investor onboarding and records
Ensure adherence to AML/KYC requirements and internal compliance standards
Maintain audit trails and documentation supporting investor onboarding and CRM updates
Assist in the development and enhancement of policies and procedures related to investor data governance
Requirements
Bachelor’s degree in Accounting, Finance, Business, or related field
5–10 years of experience in investor services, fund administration, or alternative investment operations
Strong understanding of private equity fund structures and investor onboarding processes
Experience reviewing investor subscription documents and managing onboarding workflows
Experience working with CRM systems in an investor services or IR context
Attention to Detail & Control Focus – Strong ability to review legal and investor documentation with precision

Preferred Qualifications
Experience with CRM platforms such as Backstop, but not required
Familiarity with AML/KYC and investor compliance processes
Exposure to private equity investor onboarding at scale
