JOB DESCRIPTION:

Duties & Responsibilities:

    • Operational Oversight:
      • Manage the day-to-day operations of the lodge.
      • Ensure the lounge area is appropriately set up and staffed, with awareness of guest arrivals and departures.
      • Be present during service times to assess service levels and provide assistance where necessary.
      • Coordinate with housekeeping regarding arrivals, departures, and stayovers, ensuring correct staffing levels.
      • Conduct physical checks on rooms and promptly report any maintenance issues.
      • Monitor staff appearance, ensuring neat and presentable attire.
 
    • Team Management:
      • Follow up with the assistant to ensure daily tasks are assigned and completed.
      • Collaborate with the assistant manager to welcome and brief groups/guests on arrival.
      • Liaise with the staff manager to coordinate on-site work by maintenance staff (fundi’s).
 
    • Communication and Coordination:
      • Ensure all necessary permits from TANAPA and WMA are secured.
      • Collaborate with the kitchen to determine guest numbers for meals and picnics.
      • Communicate with the garden Head of Department to set daily tasks.
      • Conduct daily HOD meetings to brief on activities and assign tasks.
      • Ensure all transfers are organized, accurately reflected on the activity sheet, and communicated to drivers.
 
    • Administrative Tasks:
      • Monitor emails daily, informing relevant departments of changes in Res Request.
      • Follow up on outstanding details with reservations.
      • Prepare the monthly operations plan from Room Request for both properties.
 
    • Stock and Procurement Oversight:
      • Ensure weekly stocktakes are conducted, reconciling with orders.
      • Verify daily bar stocks and report and account for variances.
      • Check and analyze weekly purchase orders, ensuring correct ordering levels.
      • Prepare a weekly summary of purchases and advise on any variances.
      • Monitor the procurement process, ensuring adherence to the best price policy.


 
    • Menu Planning and Reporting:
      • Prepare a bi-weekly menu plan for the kitchen.
      • Monitor the diesel report for accuracy.
      • Compile weekly pax reports for procurement and kitchen departments.
 
    • Staff Management and Record Keeping:
      • Monitor the attendance register and ensure the assistant manager assigns off days to staff.
      • Maintain records of staff contracts and expiration dates.
 
    • Communication with Management:
      • Keep the camp manager updated on changes in Res Request.
      • Report any significant changes or issues to the directors.
      • Follow up on tasks assigned by the directors.

Experience:
    • Proven experience in lodge management or a related field.
    • Demonstrated ability to oversee multiple operational aspects in a hospitality setting.
    • Strong leadership and team management skills.
    • Experience in procurement, stock control, and menu planning.
    • Familiarity with relevant permits and regulations in the hospitality industry.
    • Excellent communication and coordination skills.

Qualifications:
    • Bachelor's degree in Hospitality Management, Business Administration, or a related field.
    • Certification in hotel or lodge management is an advantage.
    • Proficiency in Microsoft Office and relevant hospitality management software.
