Assistant Practice Manager Apply
The Assistant Practice Manager (APM) is responsible for maintaining a partnership with the Practice Manager and Providers in our Grants Pass, OR office. The APM will work in sequence with the Practice Manager and Providers to establish and maintain a successful team. The APM will assist the Practice Manager with the clinical team, leadership, planning, patient management, team member supervision, and daily operational oversight of the office.
Essential Responsibilities
- Understand the business responsibilities and key performance metrics for successfully managing the office; forecast results, ensure all budget and production expectations are met or exceeded, and that financial data and records are balanced
- Exhibit outstanding customer service with each patient as a priority; assist doctors in the timely and successfully resolution of the non-clinical aspects of patient complaints, concerns, and questions
- Partner with the Practice Manager to help develop a periodic performance evaluation for your team
- Coordinate patient scheduling and flow throughout the day by providing accurate route sheets; notify providers of changes to the schedule; notify clinical team of arrivals and needs; schedule appointments in accordance with guidelines; follow and track appointments due to no-shows, cancellations, and late arrivals; call scheduled patients to confirm appointments; monitor schedule to anticipate roadblocks and potential conflicts
- Support patient flow and maximize budgeted payroll hours
- Assist the office in complying with employment-related laws and regulations and employment-related policies and procedures established by the Company
- Continually build and nurture a positive working relationship with the doctor(s), Practice Manager, and your team.
- Help facilitate the resolution of any concerns within the office
- Ensure bank deposits are protected and made daily according to established guidelines and protocols; monitor, protect and verify petty cash funds
- Follow HIPAA policies and procedures and other applicable privacy and security policies and procedures to maintain patient privacy and protect patient information including financial, personal, and health information
- Ensure that your team is trained on current company processes, policies, and procedures. Support your Practice Manager and assist in leading your team in new processes and policies as they become effective for the office and communicate all changes in a positive timely manner
- Assist in facilitating regular team meetings and daily morning huddles; seize opportunities to foster communication, provide company updates, share information, and continually challenge and develop staff
- Comply and follow with OSHA safety standards
- Other duties as assigned
Requirements
- 1-2 years of previous leadership experience within a dental or medical envrionment
- Experience with leading and offering development opportunities for a team
- Previous Practice Management Systems (PMS) experience (preferably Denticon)
- Strong interpersonal and relationship building skills
- Effective communication skills and the ability to build rapport with patients, staff and providers
- Independent decision-making skills
- Excellent organization and multi-tasking skills
Preferred Requirements
- Previous back office experience in a dental envrionment (ex. dental assistant, EFDA, etc.)
- Strong understanding of the Oregon Health Plan (OHP) and insurances
