About the Role

A MetroWall Assistant Project Manager plans, coordinates, and oversees projects. This role involves assisting with project scheduling, communication, and documentation to ensure successful project delivery, while upholding the MetroWall values.


Procurement

  • Vendor Management: Secure quotes and place orders for project-specific purchases, including installation, film, and equipment vendors
  • Order Processing: Compile and submit relevant information to place orders with vendors, coordinating closely with the procurement department
  • Resource Allocation: Identify and assign the necessary resources, including manpower, equipment, and materials, to ensure successful project execution
  • Delivery Coordination: Manage the schedule of deliveries, troubleshoot issues, and ensure timely receipt of materials


Communication

  • Client Liaison: Serve as the main point of contact for clients, ensuring all project status updates are communicated proactively
  • Status Reporting: Regularly update all relevant parties on project progress, ensuring clients are informed without needing to follow up
  • Issue Resolution: Identify and address potential scheduling conflicts, notifying clients early about any issues and working to resolve them promptly


Project Management

  • Project Status Tracking: Keep internal software systems updated to reflect accurate project statuses, schedules, and invoicing forecasts
  • Task Coordination: Assign tasks to internal teams and follow up to ensure completion
  • Shop Drawing Review: Perform detailed reviews of shop drawings to ensure accuracy and compliance with project specifications
  • Submittals Management: Obtain, prepare, and submit required submittals, and manage shipping as necessary
  • Billing Monitoring: Track the status of project billing and payments, ensuring timely processing


Scheduling

  • Installation Calendar Management: Oversee the installation calendar, coordinating with internal teams and installers to ensure smooth scheduling
  • Missing Parts Coordination: Review requests for missing parts & ensure they are delivered to site promptly
  • Delivery Confirmation: Confirm product delivery dates and times with internal teams and external vendors, ensuring alignment with project schedules
  • Problem Solving: Apply creative thinking and innovative problem-solving skills to resolve complex situations effectively
  • Labor Forecasting: Anticipate labor needs to meet installation deadlines and adjust schedules accordingly
  • Consistent Communication: Maintain constant, effective communication with all parties to ensure a clear understanding and prevent conflicts or errors


Additional Responsibilities:

  • Work willingly with all members of the MetroWall team to deliver a level of customer service that exceeds the expectations of our customers
  • Assist with additional tasks as required and at the request of management


Qualifications:

  • Bachelor’s degree in Construction Management, Engineering, Business, or a related field (preferred).
  • 1-3 years of experience in project coordination, procurement, or a similar role, preferably in the construction or manufacturing industries
  • Proficiency in project management software and Microsoft Office Suite
  • Excellent communication, organizational, and problem-solving skills
  • Attention to detail and a commitment to providing excellent customer service
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment


Work Environment:

This role involves a combination of office work and occasional on-site support. The Assistant Project Manager should be prepared to occasionally travel to job sites and assist the Project Manager in various project phases.
