This role involves assisting with project scheduling, communication, and documentation to ensure successful project delivery, while upholding the MetroWall values.ProcurementVendor Management: Secure quotes and place orders for project-specific purchases, including installation, film, and equipment vendorsOrder Processing: Compile and submit relevant information to place orders with vendors, coordinating closely with the procurement departmentResource Allocation: Identify and assign the necessary resources, including manpower, equipment, and materials, to ensure successful project executionDelivery Coordination: Manage the schedule of deliveries, troubleshoot issues, and ensure timely receipt of materialsCommunicationClient Liaison: Serve as the main point of contact for clients, ensuring all project status updates are communicated proactivelyStatus Reporting: Regularly update all relevant parties on project progress, ensuring clients are informed without needing to follow upIssue Resolution: Identify and address potential scheduling conflicts, notifying clients early about any issues and working to resolve them promptlyProject ManagementProject Status Tracking: Keep internal software systems updated to reflect accurate project statuses, schedules, and invoicing forecastsTask Coordination: Assign tasks to internal teams and follow up to ensure completionShop Drawing Review: Perform detailed reviews of shop drawings to ensure accuracy and compliance with project specificationsSubmittals Management: Obtain, prepare, and submit required submittals, and manage shipping as necessaryBilling Monitoring: Track the status of project billing and payments, ensuring timely processingSchedulingInstallation Calendar Management: Oversee the installation calendar, coordinating with internal teams and installers to ensure smooth schedulingMissing Parts Coordination: Review requests for missing parts & ensure they are delivered to site promptlyDelivery Confirmation: Confirm product delivery dates and times with internal teams and external vendors, ensuring alignment with project schedulesProblem Solving: Apply creative thinking and innovative problem-solving skills to resolve complex situations effectivelyLabor Forecasting: Anticipate labor needs to meet installation deadlines and adjust schedules accordinglyConsistent Communication: Maintain constant, effective communication with all parties to ensure a clear understanding and prevent conflicts or errorsAdditional Responsibilities:Work willingly with all members of the MetroWall team to deliver a level of customer service that exceeds the expectations of our customersAssist with additional tasks as required and at the request of managementQualifications:Bachelor’s degree in Construction Management, Engineering, Business, or a related field (preferred).1-3 years of experience in project coordination, procurement, or a similar role, preferably in the construction or manufacturing industriesProficiency in project management software and Microsoft Office SuiteExcellent communication, organizational, and problem-solving skillsAttention to detail and a commitment to providing excellent customer serviceAbility to manage multiple tasks and prioritize effectively in a fast-paced environmentWork Environment:This role involves a combination of office work and occasional on-site support.
