Job Description:

The Associate Facilities Analyst will support the Facilities Management team by overseeing the operational, administrative, and financial aspects of facility management. This role involves coordinating maintenance activities, ensuring compliance with safety regulations, and providing administrative support to ensure smooth facility operations.

Key Responsibilities:

  • Facilities Coordination: Assist in managing day-to-day facility operations, including maintenance, repair, and security. Coordinate with vendors and service providers to ensure timely and efficient service delivery.

  • Maintenance Management: Track and manage maintenance requests and schedules. Ensure all facility issues are resolved promptly and effectively.

  • Compliance: Monitor and ensure compliance with health, safety, and environmental regulations. Assist with audits and inspections as required.

  • Budget Administration: Assist in the preparation and monitoring of facility budgets. Track expenditures and manage invoices related to facility services.

  • Data Management: Maintain accurate records related to facility operations, maintenance schedules, and vendor performance. Prepare reports and documentation as needed.

  • Support: Provide administrative support to the Facilities Management team. Assist with project coordination, including office relocations and renovations.

  • Customer Service: Serve as a point of contact for facility-related inquiries and issues. Provide excellent customer service to internal and external stakeholders.

Skills and Qualifications:

  • Education: Bachelor's degree in Facilities Management, Business Administration, or a related field.

  • Experience: 2 to 4 years of experience in facilities management or a related field.

  • Technical Skills: Proficiency in facilities management software and Microsoft Office Suite (Excel, Word, PowerPoint).

  • Communication: Strong verbal and written communication skills with the ability to interact effectively with all levels of staff and vendors.

  • Organizational Skills: Excellent organizational and time-management skills. Ability to handle multiple tasks and prioritize effectively.

  • Problem-Solving: Strong problem-solving skills with the ability to address facility issues proactively and efficiently.

  • Attention to Detail: High attention to detail and accuracy in maintaining records and preparing reports.

  • Compliance Knowledge: Understanding of health, safety, and environmental regulations related to facilities management.

Additional Requirements:

  • Ability to work independently and as part of a team.

  • Flexibility to respond to facility emergencies outside of regular working hours.
