Job Title: Benefits Specialist - Leave and Accommodations

Department: Human Resources

Reports To: Manager, Benefits

Your Mission

Provide support in coordinating and administrating U.S. leave of absence and accommodation programs. Responsible for supporting employees with general leave and accommodation inquiries, accurately maintaining department records and reporting, and ensuring compliance with Company policies and relevant leave and accommodation laws while maintaining a very high degree of confidentiality. Provides exemplary customer service and support to employees, managers, and HR business partners.

Responsibilities:

  • Leave of Absence and Accommodation Program Support 85%

  • General Benefits Support 15%

Duties will include, but are not limited to:

  • Serve as a point of contact for employees seeking information about leave programs, accommodation policies, related benefits, and processes.

  • Audit and manage leave and accommodations inbox, including HR Support-Desk platform, and respond to requests for information promptly and accurately.

  • Share relevant information and guide employees through the request process, providing general details such as eligibility, documentation requirements, and timelines.

  • Provide employees with tier 1 leave and accommodation support, including standalone leave requests.

  • Process the tracking of leave and accommodation requests in accordance with established policies and procedures.

  • Connect with employees to provide general support on status updates and related benefit information.

  • Partner closely with the team on cases that require additional oversight and/or escalated support.

  • Maintain accurate department records and data input for the purpose of legal compliance, which includes tracking within the HRIS system with the payroll team to ensure accuracy with pay during leave and with external vendors, such as third-party leave-of-absence administrators.

  • Stay current with federal, state, and local laws and regulations related to leave of absence and workplace accommodations.

  • Partner closely with and maintain positive working relationships with internal stakeholders and related external vendors.

  • Provide ad hoc leave of absence and accommodation reporting and analyses as needed/requested.

  • Assist with processing high-volume repetitive and transactional tasks.

  • Support with maintenance of leave and accommodation policies and materials for the organization, such as intranet articles, communication templates, etc.

  • Manage Workers' Compensation claims administration.

  • Manage and coordinate adjustments to workspaces, helping to procure adaptive equipment, ergonomic solutions, etc.

  • Serve as primary back-up for COVID reporting and leave tracking.

Education: Associate degree in Business, HR, or related field preferred or equivalent two years working experience in administrative support, preferably in a human resources or benefits-related role; familiarity with leave and accommodation practices is preferred.

Knowledge and Skills

  • Knowledge of benefit administration fundamentals

  • General knowledge of benefits and human resources practices to ensure compliance with federal and state regulations (e.g., FMLA, COBRA, ERISA, HIPAA, etc.)

Other Key Attributes

  • Problem-solving skills and the ability to navigate complex and sensitive situations.

  • Ability to meet deadlines, organize, and prioritize high-volume workload.

  • Ability to handle sensitive and confidential information with discretion.

  • Motivated to work independently in a fast-paced environment with changing priorities.

  • Advanced knowledge of MS Office (Outlook, Word, Excel, PowerPoint).

  • Experience with Human Resource Information Systems desired; Workday preferred.
