Lapeer plastic injection molding company specializing in components, emblems, ornamentations, decorative trims and other plastic components is seeking an Experienced Bi-Lingual Office Assistant to join their team. 1st Shift, Monday-Friday, 8AM-5PM, $18-20 per hour based upon experience. All candidates must have previous experience in Office Assistant/Clerical positions, must be Bi-Lingual in English and Spanish. GENERAL SUMMARY:
Responsible to function as Hispanic Liaison and Office Assistant
PRINCIPLE DUTIES, RESPONSIBILITIES AND ESSENTIAL ELEMENTS OF THE JOB:
- Keep the Front Lobby and desk neat and organized, stocked with needed forms and paperwork
- Answer and transfer phone calls in a professional manner
- Maintain a professional demeanor and Greet visitors and issue visitor badges and / or key cards
- Provide visitors with directions upon arrival
- Responsible for Mail sorting– incoming both & outgoing
- Handle all Hispanic interactions, phone, front window, faxes and texts
- Check voice mail and fax system daily
- Check emails and requests daily
- Track employee’s attendance (adding points, falling off points, doctor’s notes).
- Create attendance write ups for employees and track them until completed
- Track employee’s FMLA.
- Attend the window for visitors and applicants.
- Recruiting for Hispanic applicants
- Conduct interview for Hispanic team members.
- Conduct Spanish Orientation
- Create folders and packages for Orientation
- Complete I-9 forms for new candidates.
- Complete and file new personnel files.
- Assist Hispanic employees with ADP and log in questions
- Assist Hispanic employees with any questions they might have and be the liaison between them and the different departments
- Track referrals program
- Distribute supplies between departments
- Organize and keep the supply room stocked.
- Do weekly inventory of supplies
- Assist the Human resources department in anything they might need.
- Scan invoices daily and file them.
- Communicate and answer all Spanish text questions in the human resources cellphone.
- Schedule and distribute invitations for safety meetings
- Keep all meeting rooms clean and organized
- Set up monthly meetings for “Themed day” and create flyers.
- Create flyers and hard copy announcements as needed.
- Organize special events and order the food. Be part of the “party planning team”.
- Pick up food for training and audits, when need it.
- Track Immigration information for employees and meet with them to notify them about upcoming expiration.
- Filing paperwork in personnel files, removing terminated employee files
- KPI’S
- Translate documents and work instructions from English to Spanish
- Assist HR with translation services for Hispanic employees. (terminations, evaluations, disciplinary actions)
- Distribute score cards quarterly
- Assist purchasing and accounting as needed with filing and delegated tasks
- Other Duties as designated by management
EDUCATION / SKILLS / EXPERIENCE:
High School Diploma
- 2 to 3 years’ experience in a professional office setting
- Professional and businesslike demeanor
- Computer literate, proficient in Excel, PowerPoint, Word and Outlook
- QAD proficient plus
- Effective communication and organizational skills
- Able to always maintain confidentiality
- Operate multi line phone system, fax and copy machines
