Job Overview
PlanetArt is looking for a Human Resources Coordinator who will collaborate closely with the Human Resources Manager and Operations Leadership to support the planning, execution, and tracking of all HR functions. This role requires excellent communication and organizational skills, a keen eye for detail and the ability to work collaboratively in a fast-paced environment.
What You’ll Do
Key Responsibilities
As a member of the PlanetArt team, reporting directly to the HR Manager, the HR Coordinator is expected to be a confident conceptual thinker with exceptional organizational and time management skills. This position will support the daily function of the HR Department by maintaining a high level of visibility, accessibility, and interaction with leadership and production team members. Other tasks include:
- Assisting with recruiting: posting roles online, conducting phone screens with candidates, scheduling interviews and managing internal conversions from temp to perm roles.
- Supporting the leadership team in managing the new hire process: drafting offer letters, sending pre-employment documents, conducting reference checks, liaising with different departments on set up.
- Scheduling meetings, new hire orientations, and HR events. Complete off-boarding administration for employees as needed.
- Assisting staff/ leadership with completing and arranging employee-related forms. Prepares material for various meetings and events, and coordinate lunch as needed.
- Responsible for answering employee inquiries about pay, benefits, and systems and escalate when required.
- Responsible for the management of policy acknowledgements and training records, managing leaves of absence, disability, workers compensation, unemployment claims and safety programs.
- Responsible for the timely and accurate processing of weekly invoices for on-site staffing agencies.
- Utilize HR system (Paychex) to add and update employee information and accuracy. Run regular ad hoc reports. Assist employees with login and access and train on the use of timeclocks. Maintain employee files.
- Assists with administration of office including providing key card access and updating all HR boards and HR intranet throughout the year.
- Assists in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contributes to policy development.
- Having a visible role and responsible for daily walk throughs on our manufacturing floor.

Requirements
What You Should Have
Skills, Qualifications, and Requirements
- Degree in business, management, or human resources preferred.
- 3+ years in the HR field, providing similar administrative duties.
- Fluency in English and Spanish.
- Exceptional interpersonal skills along with the ability to work collaboratively and cross-departmentally.
- Excellent written, verbal and communication skills.
- Proficient with MS word, Outlook, Excel, and Power Point.
- Understanding of general human resources policies and procedures.
- Solid knowledge of employment/labor laws.
- Ability to act with integrity, professionalism, and confidentiality.
- Flexible and able to work well under pressure.
- Strong organizational skills and task oriented
