Role Overview
The Bilingual Interpreter/Office Assistant (Haitian Creole/English) will become a vital member of our team at an emergency shelter, playing an essential role in supporting case managers, clients, and shelter operations. This position primarily focuses on interpretation services while assisting with administrative and support tasks when no interpretation appointments are scheduled.
This role requires regular on-site presence at the designated emergency shelter located in Massachusetts, with occasional travel to client locations such as schools, healthcare offices, and other service providers.
Responsibilities
Interpretation Services:
- Provide interpretation between families and external parties (e.g., schools, daycare providers, MassHealth, DTA) in a professional, empathetic manner.
- Facilitate communication to bridge cultural and language gaps, maintaining accuracy and confidentiality.
- Maintain the tone, emotion, and intent of the speaker during interpretation, ensuring clear and effective communication.
- Adhere to established interpretation standards and protocols, avoiding omissions or additions.
Customer Service:
- Assist families in contacting agencies such as the Department of Transitional Assistance (DTA) and health insurance providers.
- Guide families to local resources, including medical services, schools, employment opportunities, transportation, or other necessities that could impact housing placement.
Administrative Support:
- Aid case managers with minor follow-ups, including reminding families of medical appointments or other obligations.
- Assist with the client intake process, data entry, and file management to enhance service delivery.
- Coordinate and schedule client appointments, ensuring client records are organized and current.
Assistance to Management:
- Collect and organize family documents, ensuring confidentiality of sensitive information.
- Post new flyers in the lobby and common areas.
- Distribute letters and mail to residents’ rooms, and coordinate with the front desk regarding resident packages.
- Follow up on various assigned tasks to support shelter operations.
General Duties:
- Engage in team meetings to share insights on client communication needs and support administrative tasks as required.
- Perform additional duties as assigned to ensure the shelter’s effective operation.
Requirements
Qualifications & Skills:
- Certification in interpretation is required
- Fluency in Haitian Creole and English is required
- Valid Massachusetts Driver’s License and consistent, reliable transportation is required
- Minimum of a High School Diploma is required; Bachelor’s degree is preferred.
- Previous experience working in Emergency & Family Shelter settings is preferred.
- Familiarity with working alongside individuals who have recently immigrated to the U.S., particularly from Haiti, is highly desirable.
- Excellent interpersonal skills to communicate and collaborate effectively with staff, residents, and external partners at varying levels of expertise.
- Ability to work collaboratively, fostering an atmosphere of trust and respect within project teams and with external stakeholders.
- Highly organized and self-directed with demonstrated ability to manage diverse projects with minimal supervision.
- Intermediate computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook), with experience in tools such as pivot tables and lookup functions.
- Strong sense of diplomacy and discretion when dealing with sensitive or politically nuanced situations.
- Ability to take initiative and work independently, as well as thrive in a team environment.
