Job Description
The Billing & Accounting Support Specialist plays a key role in supporting the accounting team by managing daily transactional activities and maintaining accurate, well-organized financial records. This position focuses on the essential operational tasks that keep accounting functions running smoothly, allowing senior staff to concentrate on higher-level analysis, compliance, and strategic initiatives.
Reports to: Senior Accountant- Billing & Revenue

Essential Duties and Responsibilities

- Accounts Payable (AP): Process vendor invoices, match purchase orders, prepare payments, and maintain AP files in an organized and accessible manner.
- Billing: Assist in generating and distributing customer bills; assist in reconciling billing records to ensure accuracy and timeliness, and processes customer account refund checks.
- File Maintenance: Maintain orderly filing systems for accounts payable and other accounting records (both electronic and paper).
- Support to Business Services Coordinator: Provide backup and support for customer projects, reporting, and other assigned tasks to this position.
- General Accounting Support: Assist with reconciliations, data entry, and other transactional tasks as needed to support the accounting team.

- Proficient with Microsoft Office Suite or related software
Education and/or Experience
- Microsoft Excel skills (formulas; pivot tables)
- High level of data entry accuracy
- Strong attention to detail and organizational skills
- Basic understanding of accounting principles (AP/AR, reconciliations)
- Ability to manage multiple tasks and meet deadlines
- Ability to handle confidential financial information
- Willingness to learn and adapt to new systems and processes
- Experience processing invoices, billing, and payments
- Experience with data entry and financial record maintenance
- Familiarity with month-end close support and reconciliations
Supervisory Responsibility
This position has no supervisory responsibility.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
This is a full-time position: Monday through Friday, 8:00 a.m. to 5:00 p.m.
Travel
Infrequent travel is expected for this position.
