Bookkeeper / Gallery Administrator Job Description

1708 Gallery is seeking an energetic and organized individual to join our staff as a part-time
Bookkeeper / Gallery Administrator. 1708 is run by a small team that includes the Executive
Director, Operations Manager, Curator, Special Programs Manager, and several project-specific contract positions, in addition to the Bookkeeper / Gallery Administrator.

The Bookkeeper / Gallery Administrator is a part-time (15-20 hours / week) position that provides bookkeeping and administrative support for 1708.

Primary Responsibilities:Manages gallery accounts and finances, supports 1708s donor management system, and assists with weekly office management.

The Bookkeeper / Gallery Administrator reports to the Executive Director and their specific responsibilities include:

Maintaining computer accounting system (Quickbooks Online).
Maintaining 1708s checking accounts.
Processing and tracking all financial transactions including donations, sales, artist commissions, honorariums, reimbursements, bills, payroll transactions, IRS records, sales tax, etc.

Managing petty cash and event cash.
Managing and tracking debit card purchases.
Managing and tracking restricted funding.
Reconciling bank and credit card processing statements.
Maintaining accounts payable and accounts receivable filing system.
Making regular bank deposits.
Assisting with creation and tracking of annual operating budget.
Updating donor management software with individual giving and exhibition sponsorship information and processes donor acknowledgements.
Generating financial and donor reports monthly and as needed.
Monitoring and maintaining inventory of office and event supplies.

The Bookkeeper / Gallery Administrator will work closely with:
The Executive Director and Board Treasurer to provide bi-monthly and annual reports.
The Operations Manager and Programs Manager to maintain exhibition and program budgets.
1708s accountant to prepare the gallerys taxes and 1099 forms.

The successful candidate will have experience with QuickBooks and general accounting practices.

OTHER ESSENTIAL SKILLS AND EXPERIENCE:
Experience with the Microsoft Office Suite and a working knowledge of database programs.
Knowledge of generally accepted accounting principles (GAAP).
Thorough attention to detail and strong organizational skills.
Strong writing and communication skills.
Ability to work both independently and in a team environment.
Ability to interact in a professional manner with co-workers, artists, patrons, and vendors.
Trustworthy and able to handle confidential and sensitive information appropriately.
Maintain a commitment to the gallerys mission.

DESIRABLE SKILLS AND EXPERIENCES:
Experience working with a contemporary art gallery, museum, or similar environment.
Experience working with a nonprofit.

Each year, 1708 produces six to eight gallery exhibitions and public art projects, including
InLight, the annual exhibition of light-based contemporary art. Gallery talks, panels, and more are organized in conjunction with exhibitions and projects. Additionally, 1708 produces ext.1708, an online discursive platform that is a companion to 1708s exhibitions and programs. Other programs and events include Monster Drawing Rally, a live art-making event, and Cabin Fever, an annual art auction and fundraiser.

The preferred start date is mid-February and the posting will remain open until the position is filled. This is an in-office position and the starting salary is $20/hour.
