Position Summary:

The Property Manager is responsible for direct oversight of the State Transportation Building and the engineering team. The PM will also be overseeing and coordinating all day-to-day on-site management activities and interfacing directly with the tenant representatives. Specific areas of responsibility include establishing tenant and community relations programs, enforcing the requirements of the Occupancy Agreements, construction plan review and approval process, budget preparation, oversight of all administrative and accounting responsibilities, oversight of accounts payable/vendor invoice processing, oversight of all property services onsite staff, and administration and coordination of all service contracts. The Property Manager also acts as liaison to The Transportation Childrens Center. The Property Manager is also responsible for all coordination efforts with TDLLC in accordance with the retail Master Lease and Garage Operating Agreement.

Duties and Responsibilities:

  • Ensure proper care and maintenance of the 1 million Sq. Ft. building that has a combination of Office, Retail, and Commercial and parking.
  • Supervise day-to-day building operations and maintenance.
  • Meet regularly with the master tenant to discuss ongoing projects, issues, and financials.
  • Oversight of the Chief Engineer and the engineering team, to ensure proper maintenance and repairs are made.
  • Work with the Facility Supervisor to ensure daily work orders/facility issues are triaged and addressed accordingly.
  • Reviews and prioritizes requests for work.
  • Estimates the labor and resources for completion of small projects and work orders.
  • Ensure accurate maintenance records in the Building Engines database.
  • Review construction plans for tenants utilizing the House Doctor to approve or deny proposed construction projects.
  • Supervise and ensure the safety of the grounds/facility during Snow and Ice Operations.
  • Manage and supervise facility specific staff for various building/office requests.
  • Manages assigned facility specific personnel of approx. 30 which may include Assistant Facility Managers, Electricians, Institutional Maintenance Foremen, Building Maintenance Supervisors, Administrative staff, and contracted vendors providing direct service to the facility.
  • Oversees the education and training of the workers of the establishment on the proper use and care of its equipment and other facilities.
  • Create and send building wide notices for various events.
  • Organize monthly tenant meetings, give the latest building updates and answer any questions.
  • Work with the Finance team to create yearly capital and operating budgets.
  • Manage the buildings Capital and Operating budgets of a combined $14 Mil.
  • Prepare and interpret reports.
  • Solicit work quotes from state approved vendors utilizing the TRD list.
  • Approve various quotes for initial purchase orders or vendor work.
  • Ensures prompt payment to vendors providing services by processing invoices submitted by the contractor. Reviews and processes all invoices for payment approval.
  • Solicit and maintain service contracts.
  • Manage the Medeco Key system for the building.
  • Act as a liaison with building security.
  • Available to respond to after-hours facility emergencies. This is an Emergency Personnel position; the incumbent is expected to report to duty during Gov. declared emergencies.
  • Create EPRS forms for supervised employees.
  • And all other duties as required.

Schedule: Monday-Friday 8:45am-5pm

Preferred Qualifications

  • Minimum 5 years Commercial/Retail/Office Building Management experience.
  • Ability to read and interpret such documents as specifications, blueprints, and contracts, requests for proposals, equipment operation and maintenance plans, etc.
  • Ability to understand, apply and explain the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities.
  • Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished.
  • Ability to gather information by questioning individuals and examining records and documents. - Ability to use Microsoft office software: Word, Excel, and PowerPoint.
  • Ability to determine the proper format and procedure for assembling items of information. - Ability to prepare and interpret general reports.
  • Ability to maintain accurate records.
  • Ability to work accurately with names, numbers, codes and/or symbols.
  • Ability to prepare and use charts, graphs, and tables.
  • Ability to perform mathematical calculations using formulas to solve problems.
  • Ability to give written and oral instructions in a precise, understandable manner.
  • Ability to establish and maintain harmonious working relationships with others.
  • Ability to work independently.
  • Ability to exercise sound judgment.
  • Ability to exercise discretion in handling confidential information.
