Ardalyst is seeking a motivated and enthusiastic Business Operations Assistant to join our dynamic team. This role offers a unique opportunity to gain hands-on experience in the fast-paced world of Cybersecurity and Digital Transformation while supporting the daily operations of a growing startup. Responsibilities include scheduling and coordination, expense and document processing, ordering supplies, and supporting onboarding and offboarding activities. The position also oversees general office upkeep, mail handling, and internal events, while partnering closely with leadership and executive assistants to manage signatures, meetings, and special projects. This role requires strong organization, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This position is a chance to build valuable professional skills, work closely with leadership, and learn the day-to-day operations of a growing organization.

Potential Duties/Responsibilities:

  • Maintain organization of files, records, electronic documents, expenses and the physical office space.
  • Coordinate travel arrangements, booking conference rooms and arranging meals.
  • Will work closely with Executive Assistant on supporting special projects and strategic initiatives as needed, including AI automation, customer scheduling and company-wide time entry processes.
  • Work with Business Operations Manager on onboarding and offboarding tasks.
  • Write and document company policies across departments.
  • Conduct research on various topics as assigned. Including but not limited to Microsoft usage, CMMC guidelines and how to maximize internal processes.
  • Use AI to help automate processes and create AI agents


Requirements:

  • Ability to manage time effectively, prioritize tasks and proven ability to meet deadlines.
  • Excellent communication skills, both written, oral and timely.
  • Self-motivated, highly organized, and detail oriented with the ability to work independently or in a team environment.
  • Ability to learn quickly, take initiative and have mindset of automating processes.
  • Manage and prioritize multiple projects simultaneously.
  • Demonstrate professionalism, reliability and a willingness to learn.
  • Prepare status updates and post-project documentation
  • Ability to self-study documentation, including compliance and regulatory documentation such as:
    • The CMMC Assessment Guide
    • The CMMC Scoping Guide

Qualifications:

  • College degree, or GED with applicable experience.
  • Knowledge of Microsoft software.
  • Superior attention to detail.
  • Aptitude for learning new software and systems.
  • Experience in organizational management or related fields.
