Position: Business Operations Manager (Legal Assistant)
Overview:
The Legal Assistant plays a vital role in supporting multiple organizations, including municipal and public entities. This position involves ensuring the smooth implementation of policies, processes, filings, and other administrative activities. The Legal Assistant works closely with assigned attorneys to provide substantive support, manage client interactions, and oversee critical documentation and filings.
Key Responsibilities:
Client Interaction:
- Communicate with clients and professionals in fields such as land development, engineering, public infrastructure, finance, and governance.
- Attend and take minutes at meetings, some of which may occur outside regular business hours (morning or evening).
Documentation & Research:
- Prepare agendas, resolutions, orders, and other formal documents for meetings.
- Draft professional correspondence and ensure the timely filing of regulatory and compliance documents.
- Research, compile, and analyze information to support decision-making.
- Process real estate documents such as easements, deeds, annexations, and exclusions.
Project Coordination:
- Maintain calendars for key deadlines, events, and filings for multiple clients.
- Monitor and ensure compliance with contract terms.
- Assist in public bond sales, elections, and other major organizational processes.
Administrative Duties:
- Manage client mail, scanning, copying, and organizing documentation.
- Coordinate responses to inquiries from clients, consultants, and government agencies.
- Accurately track and bill time spent on client-related tasks.
Qualifications:
Required:
- Bachelor’s degree.
- Strong written and verbal communication skills, with a focus on grammar, spelling, and proofreading.
- Excellent attention to detail and ability to meet strict deadlines.
- Ability to work independently and manage multiple projects simultaneously.
- Strong client service and interpersonal skills.
Preferred:
- Background in English, Journalism, Legal Studies, Project Management, Public Administration, or related fields.
- Experience taking minutes in meetings or editing formal documents.
- Comfort speaking to groups in professional settings.
Requirements:
- Ability to sit for extended periods during meetings or desk work.
- Reliable transportation for occasional travel to off-site meetings (local travel may be required).
- Availability to attend meetings outside regular business hours (morning or evening).
