Position: Legal Assistant
Overview:
The Legal Assistant plays a critical role in supporting clients, including public and private organizations, by ensuring the smooth implementation of policies, procedures, filings, and other administrative processes. This position requires close collaboration with assigned attorneys and regular interaction with clients and professionals in various fields.
Key Responsibilities:
Client Interaction and Support:
- Maintain direct client-facing communication daily, including interactions with professionals in fields such as development, engineering, infrastructure, and finance.
- Attend meetings (both on-site and off-site) and prepare accurate minutes (some meetings may occur outside regular business hours).
Documentation and Reporting:
- Prepare agendas, resolutions, orders, and other formal documents for client meetings.
- Organize and file documents following meetings, ensuring compliance with organizational and regulatory standards.
- Draft professional correspondence and maintain detailed records of client activities.
Research and Analysis:
- Research, compile, and analyze information to support decision-making.
- Maintain annual calendars for events, deadlines, and filings.
- Monitor compliance with contractual terms and regulatory requirements.
Project Management:
- Assist with projects such as public bond sales, client elections, and real estate matters (e.g., easements, deeds, annexations).
- Respond to inquiries from clients, stakeholders, and external parties, or coordinate responses from other team members.
Administrative Support:
- Accurately track and bill time spent on client-related work.
- Perform administrative tasks, including managing mail, scanning, and copying.
Qualifications:
Required:
- Bachelor’s degree.
- 5+ years of professional experience in a client-facing role.
- Strong written and verbal communication skills with a focus on grammar, spelling, and proofreading.
- Excellent attention to detail and ability to meet deadlines.
- Ability to work independently and manage multiple projects.
- Strong interpersonal and customer service skills.
- Comfort with public speaking and group interaction in a professional setting.
Preferred:
- Background in English, Journalism, Legal Studies, Project Management, Public Administration, or related fields.
- Experience with meeting minutes or editing formal documents.
Work Requirements:
- Ability to sit at a desk or conference table for extended periods.
- Reliable transportation for occasional local travel to off-site meetings.
- Availability to attend meetings outside standard business hours (morning or evening).
