Job Summary:


The Business Services Administrator is a new position and serves as a vital contributor across the Offices for the Faculty Experience (OFE). The Business Services Administrator is collaborative, solutions and service-oriented, a can-do go-getter who supports both sustainable operations and a cross-unit team in the development of new and pioneering programs. The Business Services Administrator is skilled at working independently and with diverse University of Colorado School of Medicine stakeholders to fulfill OFE goals and objectives and moves effortlessly between everyday administrative needs and new or more complex project/initiative planning and reporting.

OFE resides in the Office of the Dean in the School of Medicine (SOM) on the University of Colorado Anschutz Medical Campus. The OFE team is growing and includes the Office for Faculty Affairs, the Office for Faculty Development, the Office for Faculty Relations, and the School of Medicines Faculty Work & Culture Optimization Collaborative for well-being.

The Business Services Administrator wears multiple hats and supports various initiatives, managing both every day and more complex fiscal, HR, and administrative operations across OFE. These responsibilities may include the development of fiscal operations, development of proformas and financial modeling to determine the viability of new initiatives, procurement and contract management, budget management and development, process administration for both faculty and staff actions, employee onboarding and development, program and project development and management among other operational responsibilities. This position will also guide, supervise, and/or mentor support staff in events, academic, administrative, and business service areas.
The Business Services Administrator knows CU/SOM systems, policy, people, and processes and is enthusiastic about applying their skills and knowledge to both support and mentor individuals and a team and contribute their CU/SOM business and administrative know-how to a new unit in the SOM Deans Office to help it grow, develop and establish new processes and initiatives. The Business Services Administrator is exceptionally inclusive and business-oriented, as well as service and outcome-focused. This new hire will care about the human impact of processes, contributing to big picture outcomes for the SOM, fostering a welcoming, communicative, and service-focused environment, and holding oneself accountable for delivering on tasks, assignments, and collective problem-solving.

Key Responsibilities:

Fiscal Administration, Planning, & Initiative Development
  • Collaboratively manages financial operations across OFE, including for the Office for Faculty Affairs, the Office for Faculty Development, the Office for Faculty Relations, the School of Medicines Faculty Work & Culture Optimization Collaborative for well-being, and other associated budgets and fiscal operations.
  • Coordinates and manages ongoing fiscal activities, including but not limited to financial planning, modeling and reporting, purchasing, procurement, and contract management.
  • Collaboratively negotiates and drafts internal/external contracts, MOUs, and other documents and facilitates the review, signature processes, and/or approvals appropriate to the document and within CU/SOM systems.
  • Compiles, reviews, and prepares financial information; assesses whether revenues and expenses are within budget; investigates discrepancies; and ensures fiscal policy compliance and accurate financial management and reporting.
  • Analyzes fiscal viability, sustainability, and trends to inform budget and business decisions for existing and new initiatives under development.
  • Tracks and manages OFEs fiscal year budget, collaborates on developing the annual budget for each office, and participates in evaluating various budget proposals and related fiscal planning initiatives.
  • Supports the implementation of financial and strategic plans.
  • Identifies opportunities to reduce costs and time demands and streamline processes.
  • Develops and implements business processes and changes in alignment with program, project, and OFE needs, best practices, and legal and CU/SOM policy and process requirements.
  • Completes other duties as assigned.
HR Administration
  • In partnership with HR and the Office for Faculty Affairs, confidentially manages, coordinates, and administers ongoing and annual faculty and staff processes, personnel actions, data, and files for OFE.
  • Coordinates and administers recruitment, hiring, and related documentation.
  • Coordinates personnel onboarding, including working with facilities, IT/technology, and other administrative units.
  • Administers staff and faculty leaves.
  • Supports employee planning, events, and activities.
  • Collaboratively manages and fosters team and other calendars for office efficiencies.
  • Analyzes and reports on diverse fiscal and personnel data.
  • Appropriately applies actions by CU/SOM policies, processes, and data management requirements.
  • Identifies opportunities to streamline personnel processes for OFE.
  • Develops and implements administrative processes in alignment with program, project, and OFE needs, best practices, and legal and CU/SOM policy and process requirements.
  • Serves on hiring and other committees as assigned.
  • Completes other duties as assigned.
Staff Supervision, Support, Training, & Development
  • Directly supervises OFE Events Coordinator (supporting all OFE offices).
  • Mentors, trains, and/or supports a diverse employee team and employee development/performance needs in the project, program, and event management and across academic, business, and administrative service areas (for direct and non-direct reports).
  • Completes other duties as assigned.
Office Operations & Project Management
  • Provides responsive, inclusive, welcoming, and professional customer service to faculty/staff and diverse SOM stakeholders.
  • Works effectively across CU/SOM areas, including with HR, finance, procurement, legal, compliance, grants, contracts, IT, communications, marketing, and other CU/SOM staff and stakeholders on diverse operational activities and needs for OFE.
  • Develops and manages standard operating procedures and efficient processes for OFE and continuously evaluates and assesses opportunities to improve business, operational, and administrative efficiencies.
  • Professionally represents and advocates for OFE needs and goals within assigned duties and responsibilities.
  • Confidentially and with professional discretion, skillfully navigates and manages staff/faculty data and information, leadership direction, change, conflict, and organizational politics.
  • Supports general and varied office administration needs, coordination, and communications, and manages/supports programs, projects, new initiatives, development and training, and outcomes and metric monitoring/reporting (at varying degrees of complexity).

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as

$70,551 to $89,741.

Minimum Qualifications:

  • Bachelors degree in business, healthcare, public administration, or a directly related/relevant field from an accredited college or university.

  • 4 or more years of broad and diversified professional-level experience, including business and personnel administration, program, and operational administration, and/or project management experience.

Preferred Qualifications:

  • Masters degree in business, healthcare, public administration, or a directly related/relevant field from an accredited college or university.

  • 7 or more years of broad and diversified professional-level experience, including business and personnel administration, program and operational administration, and project management experience.

    • 3 or more years of recent experience with any department/unit in the CU-SOM, including experience with diverse business services (e.g. budgets, fiscal reporting, procurement, contracting, events management), HR administration (staff and faculty), and cross-team coordination.

  • 1 or more year(s) of experience within the CU System.

  • Experience with both public/institutional and rapidly changing work environments (e.g. higher education, public organizations, change management, and/or start-up environments).

Knowledge, Skills, and Abilities:

  • Advanced knowledge and skill with SOM business, HR and faculty processes, policies, and administration.

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as

$70,551 to $89,741.

The above salary range (or hiring range) represents the Universitys good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation unless it is non-exempt.

Minimum Qualifications:

  • Bachelors degree in business, healthcare, public administration, or a directly related/relevant field from an accredited college or university.

  • 4 or more years of broad and diversified professional-level experience, including business and personnel administration, program, and operational administration, and/or project management experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Masters degree in business, healthcare, public administration, or a directly related/relevant field from an accredited college or university.

  • 7 or more years of broad and diversified professional-level experience, including business and personnel administration, program and operational administration, and project management experience.

    • 3 or more years of recent experience with any department/unit in the CU-SOM, including experience with diverse business services (e.g. budgets, fiscal reporting, procurement, contracting, events management), HR administration (staff and faculty), and cross-team coordination.

  • 1 or more year(s) of experience within the CU System.

  • Experience with both public/institutional and rapidly changing work environments (e.g. higher education, public organizations, change management, and/or start-up environments).

Knowledge, Skills, and Abilities:

  • Advanced knowledge and skill with SOM business, HR and faculty processes, policies, and administration.

  • Skilled at building, managing and problem-solving diverse business services for a CU/SOM unit.

  • Knowledge of diverse staff and faculty actions across the employee lifecycle within SOM Finance, HR, and the Office for Faculty Affairs.

  • Knowledge of and/or skill with diverse SOM administrative operations, such as managing annual and project budgets; identifying and running fiscal reports for different needs; requesting or approving various types of CU Marketplace contracts; working with PSC, OGC and other finance, compliance and HR staff; managing honorariums and scope of work (SOW) forms; administering financial processes and fiscal entries; drafting and managing internal and affiliate MOUs and various types of internal/external contracts; administering leave for personnel; recruiting, hiring and working within CU Careers among others.
