Position Summary
The Change Management Specialist is a key individual contributor responsible for supporting operational excellence, process adoption, and scalability across a clinical research site network conducting industry-sponsored trials.
This role partners closely with cross-functional clinical research teams, including site staff, Regulatory, Data, Recruitment, Finance, and Quality Assurance (QA), to understand current workflows and support the rollout and adoption of approved processes, systems, and operational changes.
While QA retains ownership of SOP development, governance, and change control, this role focuses on enablement and execution: translating approved SOPs and operational requirements into effective training, role-based guidance, and change management support to ensure consistent, real-world application.
The position requires strong process understanding, comfort working across teams, and the ability to identify gaps between documented processes and day-to-day execution.
Key Responsibilities
The Change Management Specialist is a key individual contributor responsible for evaluating the effectiveness of clinical operations workflows and supporting the adoption of process improvements across a clinical research network.
The ideal candidate is comfortable mapping current-state workflows, identifying inefficiencies and adoption gaps, and supporting teams through process improvements using structured change management and training approaches.
Key Responsibilities
Process Evaluation & Effectiveness
- Partner with cross-functional teams to understand how workflows and processes are executed in practice.
- Evaluate whether current processes are achieving intended outcomes related to efficiency, quality, consistency, and scalability.
- Identify gaps, bottlenecks, redundancies, and unintended consequences in existing workflows.
- Support recommendations for process refinements in collaboration with Operations and QA.
Workflow Documentation & Analysis
- Document current-state and future-state workflows using Visio or similar workflow/process mapping tools.
- Create clear, visual representations of workflows to support understanding, analysis, and alignment.
- Maintain workflow documentation to reflect approved changes and operational reality.
Training & Change Enablement
- Develop and deliver role-based training and enablement materials aligned with approved workflows and processes.
- Apply structured change management principles to support adoption of process improvements.
- Reinforce changes through follow-up support, coaching, and feedback loops.
Collaboration with QA
- Partner closely with QA to support the rollout and adoption of approved SOPs and process changes.
- Translate QA-approved requirements into practical workflow guidance and training materials.
- Surface feedback where processes may be difficult to operationalize, while respecting QA ownership of governance and SOPs.
Program & Initiative Support
- Support operational initiatives and process improvement efforts using project management tools (e.g., or similar platforms).
- Track action items, timelines, dependencies, and stakeholder engagement related to process changes.
- Support coordination across teams to ensure changes are implemented effectively.
Knowledge Enablement & Scalability
- Develop self-service resources, job aids, and reference materials to support consistent execution.
- Contribute to scalable onboarding and enablement frameworks as the organization grows.
- Promote a culture of continuous improvement and operational excellence.
Continuous Improvement & Feedback
- Gather feedback from teams on process usability and effectiveness.
- Monitor adoption and identify areas requiring reinforcement or revision.
- Support special projects and operational initiatives as assigned.

Location & Travel
Location: Remote (U.S.)
Travel: Up to ~25% as needed to support site locations and operational initiatives
Required
- Bachelor’s degree in Healthcare, Life Sciences, Business, Education, Organizational Development, or a related field or equivalent combination of education and experience.
- 5+ years of experience in clinical operations, healthcare operations, or a regulated operational environment.
- Experience working in an industry-sponsored clinical research environment.
- Demonstrated experience evaluating operational workflows and process effectiveness.
- Hands-on experience with Visio or similar workflow/process documentation tools.
- Experience developing and delivering training or enablement materials.
- Strong written, verbal, and visual communication skills.
Preferred
- Familiarity with QA-regulated environments and SOP-driven operations.
- Experience using project management software such as or similar tools.
- Experience supporting process improvement or operational scaling initiatives.
- Familiarity with clinical research systems (e.g., CTMS, EDC, eReg platforms).
