This role helps keep enrollment, staffing communication, family follow-up, records, and center routines moving in a consistent and professional way. This is a leadership opportunity for someone who understands child care, enjoys solving practical problems, and can build trust with families, staff, and ownership. The role reports directly to the Academy Owner and works closely with the education leadership, and classroom teams. About the Role The Child Care Operations Manager supports the systems that allow classrooms to run well: family communication, enrollment details, staffing coordination, records, compliance follow-through, supplies, and day-to-day operational organization. The ideal candidate is steady, proactive, professional, and comfortable balancing people, details, and deadlines. This position is not a traditional Center Director role and is not intended to carry all center responsibilities alone. It is a focused operations leadership role designed to strengthen execution, communication, and consistency across the center. What You Will Do • Support enrollment activity, including tours, follow-up, waitlist tracking, paperwork, start dates, and family communication. • Help coordinate staffing needs, classroom coverage, schedules, call-offs, breaks, substitutes, and daily communication with the leadership team. • Maintain organized operational records, including staff files, family files, clearances, attendance documentation, and internal checklists. • Support compliance follow-through related to PA child care licensing, OCDEL expectations, center policies, and Keystone STARS quality work. • Partner with leadership on tuition, attendance, billing follow-up, and family account communication. • Track supplies, classroom needs, maintenance items, vendor follow-up, and general center readiness. • Use academy systems to keep information accurate and easy to act on. • Communicate clearly and professionally with families, staff, vendors, and ownership. Who We Are Looking For Strong candidates may come from several backgrounds. We are especially interested in people who have worked in child care, preschool, early learning, education, family services, or another people-centered operations environment. • Current Center Director or Assistant Director who enjoys operations, family communication, staffing, and daily center execution. • Child care office manager, operations administrator, enrollment coordinator, or administrative leader in a licensed child care or preschool setting. • Strong Lead Teacher or classroom leader who is highly organized, dependable, family-focused, and ready to grow into a broader leadership role. • Operations or service leader from education, health care, hospitality, human services, or family services with strong judgment and follow-through. Qualifications • Experience in a licensed child care center, preschool, early learning program, or similar people-centered environment strongly preferred. • Associate's or Bachelor's degree in Early Childhood Education, Education, Child Development, Human Development, Family Studies, Human Services, or a closely related field preferred; equivalent relevant experience may be considered. • Strong organization, reliability, confidentiality, judgment, and ability to manage multiple priorities. • Clear and professional communication with families, staff, vendors, leadership, and ownership. • Comfort using email, spreadsheets, child care management systems, and operational tracking tools. • Ability to obtain required PA clearances, including State Police, Child Abuse, NSOR, and FBI Fingerprinting. • Familiarity with PA child care licensing, OCDEL, or Keystone STARS is a plus.
