Description :

CIVIL WARRANTS SPECIALIST I

General office work to include mainly computer entry and retrieval for civil process and warrants, use of various office machines (fax, scan, copy, postage meter, telephones) and assisting the public and/or other employees with information requests.

GENERAL DUTIES:

  • Receive in-coming telephone calls and places calls as required.
  • Process outgoing mail, including maintenance of the postage meter.
  • Perform general office duties, including typing, faxing, scanning and emailing court documents.
  • Receive proper Sheriff's fees and prepare civil receipts. Print electronic receipts for service of civil process and receive money using proper accounting procedures.
  • Time stamp all in-coming papers.
  • Receive visitors, furnishing appropriate information or routing them to the proper place.
  • Serve initial, non-enforceable process as an appointed Special Process Server.
  • Serve and accept SCSO law enforcement officers Criminal Witness Subpoenas.
  • Forward Notices of Depo and Court Hearings to SCSO Employees.
  • Receive civil process requests from the public window and/or by mail.
  • Enter non-enforceable and enforceable civil process into the electronic civil and warrants modules. Prepare documents and deputy worksheets for service.
  • Forward completed Deputys returns of service to the Clerk of Courts and/or the issuing parties.
  • Receive warrants electronically from the Clerk of Courts and enter them into the electronic warrants module. Locate and attach all supporting documents into the warrant files.
  • Utilize law enforcement and public access record databases to obtain documents and information needed to support entries in electronic warrants module.
  • Forward all warrants for service to patrol and dispatch.
  • Utilize the Clerk of Court CCIS database to locate records and verify status of court cases.
  • After CJIS certification is received, utilize the FCIC/NCIC system to complete the following duties:
    • Enter, Modify, and Clear/Cancel entries for Warrants, Orders to Revoke Bond, Writs of Bodily Attachment for Child Support, Injunctions, and Risk Protection Orders.
    • Prepare teletypes for attempts to locate if the subject should be located outside of Sumter County and route communication to the proper Law Enforcement Agencies.
    • Place Locates and Detainers for Wanted Person files.
    • Respond to Hit confirmations and Bond Notifications.
    • Prepare teletypes pertaining to Injunction and RPO service and route to proper Law Enforcement Agency.
  • Receive and complete warrant removals and forward them to the Sumter County Clerk of Courts.
  • Be alert for conditions or situations, which inhibit effective operation of the Agency or the Civil Division Office, and make recommendations for solutions.
  • Perform any additional duties that may be required by the Sheriff or through necessity of situations.

JOB PREREQUISITES:

  • High school diploma or GED
  • Ability to perform general office duties with proficiency in grammar, spelling and punctuation.
  • Ability to type at least 35 words per minute accurately and ability to use a computer keyboard proficiently.
  • Ability to handle confidential matters without compromising confidentiality.
  • Ability to work harmoniously with the public and co-workers.
  • Ability to multi-task with multiple computer systems at one time on dual monitors.
  • Ability to follow instructions and organize own work.
  • Ability to speak with the public professionally in person and on the telephone regarding the agencys civil process and warrants procedures.
  • Complete a course in Basic Non-Enforceable and Enforceable Civil Process within one year of assignment, or as soon thereafter as possible.
  • Complete and maintain a CJIS certification within one year of assignment, or as soon thereafter as possible.
  • Complete and maintain a DAVID certification within one year of assignment, or as soon thereafter as possible.
  • Maintain a valid Florida Driver's License

WORKING CONDITIONS:

Normal office environment. Normal office hours, but may be required to work overtime if necessary.
