POSITION DESCRIPTION: Assists the Administrative Assistant II, Intermodal Systems Development Administrators, and staff: Processes travel documentation for authorization and reimbursements in accordance with the states policies and procedures. Processes public records request within a timely manner as required by law. Serves as back up to the Unit Property Custodian to update and maintain the Property Management Reporting System. Processes surplus items as required within the unit in accordance with the districts policies and procedures.


Answers and routes telephone calls, takes messages, and answers general questions. Greets guests and directs them to the appropriate personnel. Schedules meetings and processes office documentation, as necessary. Operates a variety of standard office equipment such as fax, copiers, scanners, and computers. Prepares, organizes, and distributes materials including mail, supplies, and other office equipment.


Assist with Geographic Information Systems (GIS) data entry for the Division.


KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of office procedures and practices; Knowledge of budget management and/or procurement of goods and services; Knowledge of records and files management; Knowledge of GIS platforms and must be able to perform data entry as required; Skilled in reading, understanding and applying applicable rules, regulations, policies and procedures; Skilled in using correct spelling, grammar and punctuation; Skilled in planning, organizing and coordinating work assignments; Skilled in listening to and understanding the needs of both internal and external customers; Skilled in independent planning, coordinating, completing and tracking the status of assignments; Skilled in following oral and written instructions; Ability to communicate effectively orally and in writing; Ability to establish and maintain effective working relationships with others; Ability to collect information/data and review for accuracy and completeness; Ability to use office equipment, Microsoft software applications, and databases.


MINIMUM QUALIFICATIONS: A high school diploma or its equivalent and prior experience in an office environment.
