Job Description Pollak & Pollak Wealth Management is an independent Ameriprise Financial advisory practice known for delivering a high-touch, comprehensive, and personalized client experience. We are seeking a polished, proactive Client Service Associate who will play an instrumental role in elevating our client experience and supporting the operational heartbeat of the practice. Position Summary As a Client Service Associate, you will ensure the smooth, efficient, and compliant operation of our advisory practice. You’ll work closely with our advisors to support day-to-day business functions, manage client interactions, prepare documentation, and maintain key systems. This role requires exceptional attention to detail, clear communication, professionalism, and a sincere commitment to client service. You’ll be the face of the practice for many clients—helping to strengthen relationships and deliver the exceptional experience that defines Pollak & Pollak. Responsibilities will evolve as the practice grows, offering opportunities for increased responsibility and professional development. What You’ll Do Business Operations (50%) Partner with Ameriprise home office to ensure accurate account setup and resolve issues promptly. Provide clients with timely, accurate information related to account maintenance and service needs (within allowable guidelines). Maintain client files and records in accordance with regulatory and firm retention policies. Support advisors with administrative tasks and practice management initiatives. Offer insights on optimizing key platforms (MOD, Go Social, Advisor website, etc.) to drive practice efficiency. Client Care & Relationship Support (50%) Maintain our client relationship management (CRM) system with accuracy and consistency. Initiate scheduling calls to clients and prospects; manage calendars efficiently. Draft client correspondence and handle client appreciation communications. Prepare for and participate in client meetings as needed. Execute client transaction requests under advisor direction. Coordinate client events, appreciation activities, and educational seminars. Serve as the first point of contact for inbound inquiries and new-client interest.
