Position Summary

Position works alongside the division chief and senior director of clinical operations in the oversight and responsibilities for administering clinical business and operational affairs related to the division of Adolescent Medicine. This position will have an emphasis on the day-to-day operations performed under Adolescent Medicine, analysis and maximization of clinical revenues, implementing effective practices and control procedures. This position requires a commitment to working with diverse populations and comfort with sexual and reproductive health issues.

Job Description

Primary Duties and Responsibilities

  • Works to maintain high levels of customer satisfaction. Provides management direction and assistance in resolving issues and complaints by Center physicians, patients and referring physician offices. Coordinates patient services, ensuring quality care is provided in an efficient and cost effective manner.
  • Works with the division chief and senior director on developing the strategic plan to grow the Center. Implements and monitors the developmental action plan.
  • Budgetary and scheduling responsibility for all support staff.
  • Manages clinical and medical assistant support staff of 12 to 15 people. Duties include hiring, training, mentoring, evaluation and termination. Oversees the clinical operation of the division.
  • Supports all clinical operations within the division aligning the division to follow University and Department of Pediatric standards. Implements and maintains office procedure manuals. Responsible for the collection and maintenance of records pertaining to the divisions CQI activities. This includes coordinating the resolution of patient complaints.
  • Budgetary responsibility for clinical and office supplies. Ensures coordination and maintenance of Center equipment and supplies. Keeps supplies within set par levels. Notifies senior director of any facility related issues including the need for equipment repair or purchase. Completes new equipment request paperwork.
  • Ensures patient safety, including while they are involved in any procedures performed within the clinic. Monitors safety checks and that time outs happen on every procedure.
  • Prepares clinical data for quarterly projections and reporting, department strategic plan and annual budget processes.
  • Works closely with leadership to enforce policies/procedures and quality control indicators through quality assurance and risk management programs. Maintains compliance with existing policies and procedures.
  • Serves as the Center member to management committees and the WU Physician Clinical Administrator Committee. Implements committee decisions.
  • Works in tandem with the Sr. Research Administrator and SPOT leadership to blend and maximize clinical and research objectives.
  • Obtains expert knowledge of all clinical systems used in the Division. Coordinates clinical reports, communicates departmental changes, and is a liaison for HIPAA and Epic updates.
  • Other duties as assigned.

Preferred Qualifications

  • Masters degree.
  • Registered Nurse.
  • Physician Office management experience.
  • Exceptional internal, external and customer service skills.
  • Working knowledge of patient services.
  • Organizational, communication and interpersonal skills.
  • A thorough understanding of what medical records, phone triage, front desk and insurance verification/precert positions entail is strongly preferred.
  • Demonstrated understanding of physician practice operations and management.

Required Qualifications

Bachelor's degree in related field and five years of clinical office experience or an equivalent combination of relevant education and experience.

Salary Range

$66,700.00 - $103,400.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
