Position Overview: The Clinic Operations Supervisor is responsible for overseeing the day to-day operations of a single PSI clinic location, ensuring consistent execution of operational workflows, staffing coverage, and clinic readiness.

This role serves as the on-site execution lead, supporting and extending the Regional Clinic Operations Manager’s oversight at the clinic level. The Clinic Operations Supervisor works closely with the Patient Services Manager and the Clinical Readiness Coordinator to ensure patient experience, staffing, and clinic readiness meet PSI standards and remain consistent across all clinic locations.

Key Responsibilities

Daily Clinic Operations

  • Oversees daily clinic operations for smooth patient flow, staff preparedness, and uninterrupted clinic functionality.
  • Ensures daily execution aligns with PSI operational, readiness, and patient experience standards.
  • Serves as the primary on-site point of contact for operational issues, escalating as appropriate to the Regional Clinic Operations Manager.
  • Coordinates with Practice Support Team to resolve operational needs in a timely manner.

Administrative Staff Scheduling & Coverage

  • Prepares and manages administrative staff schedules and daily coverage to support clinic operations.
  • Addresses coverage gaps and coordinates adjustments to maintain continuity of service.
  • Partners with the Patient Services Manager to align front desk and administrative staffing with patient volume, scheduling needs, and service expectations.

Clinic Readiness, Walkthroughs & End-of-Day (EoD) Clinic Checklists

  • Conducts daily clinic walkthroughs to verify cleanliness, readiness, and PSI standards across patient, provider, and staff areas. Escalates issues as needed.
  • Ensures on-site staff complete and submit End-of-Day (EoD) readiness checklists accurately and on time.
  • Collaborates with the Clinical Readiness Coordinator to address readiness issues, reinforce standards with staff, and prevent repeat gaps.

Reporting, Escalation & Special Projects/Tasks

  • Track and report operational issues, risks, and trends to the Regional Clinic Operations Manager.
  • Provide support on special projects or cross-site operational tasks as directed by the Regional Clinic Operations Manager.
  • Provide on-the-job support for new staff and assist with onboarding as needed.

Skills & Competencies

  • Process Adherence & Accountability: Able to reinforce standard workflows, checklists, and operational expectations, holding staff accountable for timely completion and quality execution.
  • Issue Identification & Escalation: Quickly identifies operational issues, assesses urgency, and escalates appropriately to regional or support teams, ensuring timely resolution and follow-through.
  • Communication & On-Site Leadership: Clear, professional communicator who provides direction to clinic staff and serves as a reliable point of contact for operational needs and updates.
  • Problem-Solving Under Pressure: Comfortable making real-time decisions in a fast-paced environment while maintaining calm, professionalism, and operational stability.
  • Time Management & Prioritization: Effectively balances competing on-site demands, walkthroughs, documentation, and coordination tasks without losing attention to detail.
  • Cross-Collaboration: Works effectively with leadership and support teams, both on-site and remote, to resolve operational needs and maintain optimal clinic performance.

Success in this role will be measured by:

  • Consistent 100% completion and timely submission of End-of-Day (EoD) checklists by on-site staff.
  • Daily clinic walkthroughs completed prior to patient arrival as a second-layer readiness verification, with appropriate backup coverage coordinated when the Supervisor is absent.
  • Consistently strong readiness audit results from the Clinical Readiness Coordinator, confirming adherence to PSI readiness standards.
  • Reliable administrative staff coverage, supported by well-planned schedules that align staffing levels with anticipated clinic demand.
  • Site-level performance aligned with PSI benchmarks, ensuring the supported clinic consistently meets operational, readiness, and patient experience standards comparable to other PSI locations.
  • Positive feedback from the Regional Clinic Operations Manager and cross functional partners, reflecting strong execution, communication, and collaboration

Requirements

Qualifications

  • Strong understanding of clinic or site-level operations.
  • Ability to manage daily execution while maintaining attention to detail.
  • Strong interpersonal and problem-solving skills.
  • Comfortable operating in a fast-paced, patient-facing environment.

Education & Experience

  • Bachelor’s degree preferred.
  • 2–4 years of experience in clinic operations, healthcare administration, or similar roles.
  • Prior supervisory or lead experience preferred.
