Job Description
The Clinical Assistant & Marketing Coordinator plays a key role in supporting both clinical operations and business growth at SPOKEmed. This position helps ensure an excellent patient experience while assisting with marketing initiatives that educate and attract new patients.
This role combines patient coordination, clinical support, and digital marketing responsibilities in a fast-paced wellness practice focused on hormone optimization, weight management, and personalized longevity care.
The ideal candidate is organized, proactive, detail-oriented, and passionate about health, wellness, and patient education.
Core Responsibilities
Clinical & Patient Care Support
- Prepare patient charts prior to telemedicine visits
- Ensure intake forms and questionnaires are completed before appointments
- Upload and organize lab results in the EMR
- Track lab orders and follow up on missing results
- Document patient information and update medical records
- Coordinate follow-up appointments and treatment plans
- Respond to patient inquiries via phone, email, and text
- Assist with medication refill requests
- Communicate with pharmacies and supplement vendors
- Track shipments of medications and wellness products
Practice Operations
- Manage appointment scheduling and Calendly bookings
- Maintain organized patient records and documentation
- Monitor intake forms and new patient registrations
- Support clinical workflow and provider preparation
- Assist with inventory tracking for supplements and products
- Help maintain SOPs and operational systems for the practice
Marketing & Patient Engagement
- Design graphics and marketing materials using Canva
- Assist with event announcements
- Prepare weekly SPOKEmed newsletters with wellness tips and promotions
- Share educational content about menopause, weight management, hormones, and longevity
- Respond to inquiries generated from marketing campaigns
- Assist with discovery call scheduling for prospective patients
Website & Digital Presence
- Update website content and landing pages when needed
- Maintain brand consistency across marketing materials
- Assist with promotion of events, workshops, and educational talks
Analytics & Growth Support
- Track marketing performance such as leads and engagement
- Monitor advertising campaign results
- Help maintain a lead tracking system
- Provide feedback on marketing opportunities to improve patient acquisition
Skills & Qualifications
- Strong organizational and communication skills
- Experience with administrative or clinical support roles
- Familiarity with social media platforms and content creation
- Canva or basic graphic design experience preferred
- Interest in wellness, hormones, weight management, and longevity medicine
- Ability to manage multiple tasks in a fast-paced environment
