Position Title:POET Project CoordinatorDepartment:POETReports To:Manager, POET Clinical Education & TrainingLocation:Sunnyvale, California
Joining Intuitive Surgical means joining a team dedicated to using technology to benefit patients by improving surgical efficacy and decreasing surgical invasiveness, with patient safety as our highest priority.
Position Overview:
The POET Project Coordinator supports the success of the POET team through project management, program, events, and technical support. The ideal candidate is highly organized, proactive, and skilled at facilitating communication and tracking progress in a dynamic environment.
Key Responsibilities:
Project Coordination:
Collaborate with POET Managers to ensure project timelines are met
Coordinate and track status of project plans with POET Managers or Course Leads
Assist with updating and syncing project documents (e.g., Box folders, Smartsheet)
Schedule meetings, provide meeting minutes and recordings, and follow up on action items across cross-functional groups
Coordinate updates to weekly status and metrics reports
Create reports from various sources (e.g., Qualtrics, Zoom)
Program, Project, and Event Support:
Schedule and communicate with attendees and SME s
Produce and distribute course certificates
Track attendance across POET pillars (Clinical, Process, Technical, and Ops)
Support facilities, catering, and IT needs
Prepare for training, including room set-up and shipping
Provide general operational support
Technical Support:
Manage content, files, and technology for program activities
Support eLearning scheduling and logistics
Maintain communication with learners and leaders
Minimum Qualifications:
Minimum 2 years of experience in project management or event coordination
Exceptional verbal and written communication skills
Proficiency with Microsoft Office Suite (Excel and PowerPoint) and Smartsheet
Strong organizational skills and ability to prioritize competing tasks
Proactive problem-solver with keen attention to detail
Working Conditions:
Onsite presence minimum 3 days per week
Maximum of 40 hours per week
Ability to lift up to 50 pounds
This position requires up to 25% travel to facilitate training sessions at Intuitive sites globally
