Position Overview

As a Contact Center Specialist, you will be the first point of contact for patients calling our practice. You will play a critical role in creating a positive experience for our patients by providing outstanding customer service, scheduling appointments, and assisting with general inquiries. You will work directly with our Patient Services Specialist and administrative teams to ensure that each patient receives the best care and attention.

Key Responsibilities

  • Answer incoming calls from patients in a timely, courteous, and professional manner.
  • Schedule appointments for surgery consultations, exams, and follow-up visits.
  • Answer patient inquiries and provide general information regarding services, procedures, and insurance.
  • Verify patient information and update records in the practice management system.
  • Handle patient concerns, complaints, and issues, escalating to the appropriate staff member when necessary.
  • Check voicemail regularly and return patient calls promptly, ensuring all inquiries are addressed and concerns are resolved.
  • Assist with confirming appointments and follow-up calls.
  • Coordinate with Patient Services Specialist team and administrative staff to ensure efficient scheduling and patient flow.
  • Maintain confidentiality of patient information and adhere to HIPAA guidelines.
  • Other administrative tasks as needed to support the practice.

Qualifications and Experience:

  • High school diploma or equivalent.
  • Experience working in a call center or medical office setting is preferred but not required.
  • Knowledge of insurance processes, including verification and understanding of benefits, is highly preferred.
  • Ability to verify patient insurance information and assist with related questions or issues.
  • Knowledge of medical ophthalmology terminology is a plus but not required.
  • Proficient in Microsoft Office and experience with practice management software is a plus.
  • Bilingual (English and Spanish OR Creole) is a plus
  • Exceptional communication and interpersonal skills.
  • Ability to stay organized in a fast-paced environment.
  • Strong attention to detail and accuracy in data entry and record-keeping with a commitment to patient confidentiality.
