Under the direct supervision of the Assistant Director - Facility Operations (Recreation Center), the Coordinator I – Facility Maintenance is responsible for the daily maintenance operations of all ASI-managed facilities and event operations support. Certain non-specialized Coordinator duties and assignments are fluid and are periodically reviewed and revised based on program philosophy, professional development, and staff needs. 

Additionally, all ASI employees are responsible for upholding the core values of the organization including but not limited to exhibiting professional behavior, acting as a role model to others, displaying a positive and cooperative attitude, communicating effectively, developing expert knowledge in area of specialization, and working together as a team. 

Requirements

Educational/License/Credential Requirements 

  • Graduation from a four-year college or university (8 years applicable experience may be substituted for educational requirement). 
  • Current American Red Cross certification in the following: Adult CPR, AED, and First Aid. 
  • Must hold a CA driver’s license with a driving record acceptable to ASI insurance underwriters. 

Experience Requirements 

  • Minimum three (3) years' experience, five (5) years preferred that demonstrates the ability to perform the essential functions of the position. 
  • Minimum two (2) years' experience overseeing daily custodial and maintenance functions in a large facility environment. 
  • Experience in budgeting and fiscal management. 
  • Supervisory experience required. 

Knowledge/Skill Requirements 

  • Working knowledge of correct English grammar, spelling, and punctuation. 
  • General knowledge of office methods, equipment, procedures, and practices. 
  • Knowledge of Windows-based computer systems. 
  • Ability to effectively communicate both orally and written; strong public speaking ability. 
  • Demonstrated skills in group supervision/leadership. 
  • Ability to gather and analyze complex data and situations to draw valid conclusions and make appropriate recommendations. 
  • Excellent organizational skills and the ability to coordinate multiple projects and meet deadlines. 
  • Working knowledge of safety standards and procedures. 
  • Working knowledge and understanding of financial record-keeping methods, procedures, and practice.

Supervisory Responsibilities 

  • Directly supervise the Maintenance Technician I, Maintenance Technician II, and Maintenance Technician I (Pool). 
  • Facilitate meetings, conduct performance evaluations, establish goals, and monitor day-to-day operations for the Equipment Technician team 

Essential Duties and Responsibilities 

Customer Service 

  • Meet with different areas within ASI to ensure the needs of the customers are met.  
  • Respond directly to and address participant/customer concerns and problems. 
  • Act as a liaison to University Project Managers performing capital project improvements to ASI managed facilities. 
  • Act as liaison to the University Trade Shops for facility maintenance repairs. 
  • Work directly with vendors for facility maintenance needs and purchasing.  
  • Coordinate work within the work order management system (Connect2) and communicate proactively with customers based on the progress of work orders. 

Purchasing 

  • Adhere to and ensure compliance with ASI fiscal policies and procedures. 
  • Demonstrate proficiency in preparing proposals and submitting purchase requests in accordance with organizational standards. 
  • Assist in budget management, including monitoring expenses and contributing to financial forecasting activities 

Operations Oversight 

  • Shares oversight of facility maintenance operations of the Recreation Center, University Union, Children’s Center, Doerr Family Field, and Cal Poly Sports Complex with the Assistant Director – Facility Operations, ensuring safe and functional facilities on a daily basis.  
  • Oversee the daily operation of all ASI-managed facilities, ensuring safety compliance, facility care, event-related support, and risk management awareness. 
  • Coordinate ordering, shipping, receiving, and delivery of supplies and materials to support the Maintenance Technicians. 
  • Submit Service Requests and Building Permits with Cal Poly Facility Services to schedule necessary trades work in ASI-managed facilities. 
  • Research materials and equipment for facility improvements. 
  • Implement facility improvements as directed. 
  • Work closely with Coordinator II- Event Management, and Coordinator I - Event Scheduling and Logistics to ensure that all reservations are properly planned from a facility maintenance perspective. 
  • Assist in development, preparation, and monitoring of the budget for specific program areas. 
  • Coordinate work schedules and work assignments to meet the overall operations objectives. 
  • Manage scheduling of the HVAC system to align with events and daily operations. 
  • Coordinate service and maintenance for the ASI fleet of vehicles. 
  • Oversight of pool management including pool chemistry at the Recreation Center, ensuring all systems are working as planned. 
  • Plan and coordinate annual and quarterly preventative equipment maintenance for ASI-managed facilities. 
  • Work with University Trade Shops to ensure that the Cal Poly Sports Complex and Doerr Family Field are maintained to a high standard per the lease agreement and turf management schedule to meet the needs of multiple programs. 

Safety 

  • Assure compliance with and monitor appropriate facility safety and risk management practices. 
  • Keep current on Cal-OSHA mandates and ergonomic requirements. 
  • Plan and deliver safety training to equipment technicians specific to their roles' duties. Keep training records of staff safety training. 
  • Ensure any fire code violations are responded to swiftly and through resolution.  
  • Maintain all ASI-facilities with safety at the forefront. Respond quickly to safety concerns related to facility infrastructure or usage.  
  • Work with ASI Safety Committee to ensure safety procedures are in place and followed by all staff. 
  • Work with the Event Management Team to ensure safe facilities for hosting events in ASI managed spaces. 
  • Coordinate Practical Emergency Scenario Assessment drills for staff. 

Assessment 

  • Develop and execute assessment of programs and/or services for areas of responsibility including, but not limited to, setting and implementing goals, evaluating outcomes, and ongoing enhancement. 
  • Participate in the overall ASI assessment planning and goal setting. 

Diversity and Inclusion 

  • Recommend and support practices intended to eliminate racial, gender, or any other form of bias in processes, policies, and procedures.  
  • Demonstrate awareness of one’s own biases, comfort levels, and various aspects of diversity, equity, and inclusion (DEI). 
  • Demonstrate effort to understand each person’s individual and collective role in creating inclusive environments.  
  • Commit to continuous learning/improvement in DEI and cultural competence.  
  • Work with director to review department’s policies, procedures, & practices related to DEI and participate in addressing barriers identified.

  • This position is part of a team of ASI essential personnel required to report to their designated work location on campus as soon as practicable during an emergency or when the University has suspended operations. 
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment. 
  • Other duties as assigned.
