About the Role

In order to achieve its ambition of serving 80,000-100,000 Fellows over the next decade, Braven is hiring a Coordinator, Operations & Facilities who will maintain and keep databases up to date and support in the centralization of Promotional Materials (SWAG). Processing requests, entering historical data, and supporting in-office events. As a member of the Operations team, you will ensure efficiency, operational excellence, and best practices across all offices by assisting in designing and implementing office policies. Additionally, the SWAG Coordinator will provide Braven-wide project management and operational support, contribute to process improvement, manage financial reporting, and ensure efficient office operations.

This role is on the People & Operations team and reports directly to the Director, Procurement & Facilities.

What You’ll Do

SWAG Management/Tracking (55%)

  • Coordinate the research and selection of potential SWAG providers, oversee pricing comparisons, and recommend the best options based on quality, cost, and brand alignment.
  • Assist in collaborating with the Communications Team to ensure all SWAG items meet brand guidelines and reflect our brand identity.
  • Oversee SWAG inventory levels, coordinate order placements, track shipments, and ensure timely delivery. Provide regular updates through Slack or other communication channels.
  • Serve as the point person for resolving SWAG-related issues, including order discrepancies, quality concerns, and delivery delays.

Braven-wide Operational Support and Staff Engagement (35%)

  • Assist in setting up processes and automation across the organization, including creating workflows and updating systems in Jira, with a focus on enhancing the customer experience for internal teams.
  • Monitor the Braven Online Suggestion Box, share updates with office managers, and coordinate actions based on feedback.
  • Collect feedback from in-office events through various channels and help create follow-up plans to improve staff experiences.
  • Oversee and monitor systems such as Jira, Confluence, and Slack. 
  • Identify and answer questions, ensure information is accessible on the Braven Hub, and elevate issues to the appropriate teams as needed, always prioritizing a customer-first approach.
  • Assist the NY Office Manager as needed, identify opportunities to enhance efficiency in office operations, and support office managers in maintaining a professional and positive work environment, fostering a culture of excellent customer service and communication.

Financial Reporting & Other Duties (10%)

  • Generate Alignment Team (AT) monthly expense reports, ensuring adherence to finance policies, and submitting them on time.
  • Assist NY Office Manager as needed; identify opportunities to increase efficiencies in office operations

Requirements

Minimum Requirements

  • At least 2 years of office management or a related role
  • Proficient in standard office software (e.g., Microsoft + Google Office Suite, and Slack)

Preferred Qualifications

  • Bachelor’s degree or equivalent experience
  • Highly-developed attention to detail and customer-service orientation
  • Basic financial reporting skills and knowledge of finance policies.
  • Proven ability to manage multiple projects while maintaining strict attention to detail and meeting tight deadlines 
  • Strong ability to collaborate effectively and cross-functionally with teammates in a complex and fast-paced environment
  • Getting things done through effective planning, prioritization, project/team management, and follow-through 
  • Ability to work collaboratively with cross-functional teams.
  • Detail-oriented with the ability to manage multiple tasks simultaneously

Compensation and Benefits

The salary for this position, which depends on prior work experience and our assessment of your demonstrated fit for the role, will likely be between $51,600-$64,400 in New York. This is based on a 50-hour work week at an hourly rate. This is a full-time regular, non-exempt, and benefits-eligible position where you will be working at 100% capacity. Braven offers competitive base salaries based on the midpoint of the market among not-for-profit organizations of similar size, with opportunities for salary growth over time. We believe in compensating staff members fairly in relation to each other, their qualifications, and their impact on behalf of the organization, and take internal and external equity seriously. Given our commitment to equity, Braven does not negotiate salary offers; instead, each salary offer is determined carefully using external and internal benchmarking. You will have an opportunity to discuss salary in more detail after you begin the application process.

Braven also provides competitive, comprehensive benefits, recognition, and career development. While Braven reserves the right to change benefits at any time, current benefits include: 

  • Unlimited vacation time in addition to org-wide holidays and week-long shutdowns in July and the end of the calendar year (this is a minimum of 19 days per year)
  • Match of your 401K contribution up to 5% of your base annual salary, starting your first full month
  • Coverage of 85% of health insurance premiums for employees and dependents
  • 12 weeks of paid parental leave
  • A one-month paid sabbatical after 4 years on staff

Location

We gather in the office at least 3 days per week (on Tuesday, Wednesday and Thursday) and often work remotely 2 days per week (although certain commitments might adjust that from time to time). Therefore, this role requires teammates to live within commuting distance of New York City. We believe in the magic, connection, and collaboration that happens when people work together face-to-face and we believe in giving people flexibility to focus, balance personal priorities, and save themselves two commutes per week.
