Correspondence Manager

The Office of the President, is seeking candidates for the position of Correspondence Manager. The Correspondence Manager in the Office of the President will be responsible for a wide range of duties. A highly visible team member, the Correspondence and Briefings Manager will support the Senior Director of Leadership Communications and Engagement on presidential communications. A skilled writer with an appreciation for project management, the Correspondence Manager will process incoming and outgoing correspondence, serve as liaison to other offices across the institution to address correspondence quickly and appropriately, and prepare and edit briefings for presidential speaking events and presentations. The Correspondence Manager will play an important role on the presidential communications team and work closely with senior leaders across the University. Successful completion of work assignments involves a high level of judgment, tact, creativity, initiative, and attention to detail, as well as an appreciation for tight deadlines, an unwavering commitment to organization, a positive attitude, and a high level of confidentiality.

Specific Duties & Responsibilities

  • Oversee incoming correspondence and requests for President Daniels attention; triage to other staff members as appropriate; prioritize items that need immediate attention.
  • Manage all outgoing documents and correspondence with President Daniels signature including obtaining necessary approvals and additional signatures.
  • Prepare first drafts and proofread and edit documents and office communications for approval and signature by the President Daniels.
  • Track correspondence traffic on important topics and provide reports to leadership.
  • Manage briefings for all speaking events for the president.
  • Prepare and/or compile briefing and meeting materials for President Daniels to ensure he is fully prepared including researching and gathering critical information. Ensure that materials are accessible in a timely manner and kept confidential.
  • Office lead for customer relations management (CRM) system.
  • Input all incoming correspondence into CRM for tracking and archiving purposes.
  • Primary lead for University Archives on all presidential materials.

Requirements

  • Must be an excellent writer with skills for professional business writing.
  • Must have excellent grammar and proofreading skills.
  • Must be able to work well at a fast pace.
  • Must have an extremely high level of good judgment as well as problem-solving and critical thinking ability.
  • Excellent organizational skills and close attention to detail.
  • A positive attitude, flexibility, and an eagerness to collaborate with others.
  • An unerring sense of professionalism.
  • Demonstrated ability with office desktop technology, including working with Microsoft Office suite of products, including Word (word processing, letter composition, report formatting), Excel (basic data management), PowerPoint (report creation and formatting), Outlook, and Adobe Acrobat.
  • Some evening and weekend work.

Minimum Qualifications

  • Bachelor's Degree.
  • Two years related experience. Writing samples may be requested during the selection process.
