Job Summary

As a Customer Service Specialist, you will provide a high level of customer service, in a professional, efficient, and timely manner to all internal and external customers. In this role and as an initial representative of the Department of Human Services (DHS), members shall greet DHS guests, answer questions, and respond to informational requests from the general public, special interest groups, governmental agencies, clients to human service programs, and from other related human services agencies.

In addition, this position keeps up to date directory records, operates a building visitor registration system, manages a computerized data base inquiry system, and assists callers and walk-in visitors anyway they can to help them address their problems.


Responsibilities include but may not be limited to:

  • Answer DHS Information Desk calls from staff and customers in a professional, efficient and timely manner.
  • Schedule and supply DHS conference rooms for meetings held by external and internal staff.
  • Update DHS employee and reference data bases consisting of frequently called departmental offices, Minnesota county agencies, directory information and emergency numbers.
  • Provide reception services to DHS Staff, visitors, and public members.
  • Schedule and account for audio visual equipment loaned out to DHS personnel.

Qualifications

Minimum Qualifications

  • Customer service skills sufficient to provide prompt, courteous, and accurate information to co-workers and external partners.
  • Communication skills sufficient to analyze a task-related issue, problem solve, and communicate these findings.
  • English language skills (reading, speaking and writing) sufficient to manage and compose correspondence with accurate spelling, grammar and punctuation, and to communicate effectively with co-workers, customers and the general public.
  • Word processing skills sufficient to use Microsoft Word, PowerPoint and Outlook to manage busy calendars and distribution lists, develop and modify a variety of correspondence, records and reports; perform mail merges, develop forms and charts.
  • Typing/keyboarding skills sufficient to complete a variety of reports, letters and data summaries.
  • Database, Documents, and Records Management skills sufficient to input data rapidly and accurately into various databases and Excel spreadsheets.

Preferred Qualifications

  • Knowledge of DHS organizational structure and internal communication systems.

  • Ability to develop and maintain effective working relationships with other team members and other DHS staff.

  • Ability to handle and prioritize multiple job tasks while remaining flexible with changes.

  • Familiar with technology support/CISCO conference room technology.

  • Knowledge of American Sign Language (ASL).

  • Variety of experiences working effectively with others from different backgrounds and cultures.

Additional Requirements

REFERENCE/BACKGROUND CHECKS DHS will conduct reference checks to verify job-related credentials and a criminal background check prior to appointment.

EDUCATION VERIFICATION - Applicants will be required to provide a copy of their college transcript or college degree/diploma at time of interview. Copies of the college degree/diploma are acceptable ONLY if it clearly identifies the field in which it was earned.
