Your Role: This function is responsible for assisting with the administration of order and import operations to ensure the timely distribution of materials ordered by our US and overseas customers. The role includes advising customers of product availability, performing accurate order entry, communicating with planning and warehouse facilities to ensure on‑time delivery, and negotiating revisions with customers if necessary. Customer Service Communicates and follows up with US and overseas customers regarding product availability, status of orders, price quotes, product inquiries, complaints, shipping status, returns, etc. Performs order entries. Creates outbound deliveries for the warehouse. Handles customer requests by sending requested documents. Directs customer technical inquiries to proper departments. Works directly with broker on any additional documents/information needed for customs clearance and/or FDA release. Maintains customer files. Pulls documents for auditors. Schedules deliveries for resales. Sends orders to sales for review. Checks with intercompany sites on timing of shipments. Follows up with the broker on resales deliveries. Organizes shipping documents for incoming resale shipments. Adheres to all applicable SHE, DOT, IMO, IATA, DEA and cGMP regulations. Shipping Coordinates shipments with company facilities inside and outside the US. Prepares customs shipping documentation (commercial/proforma invoices, export declarations, shipper’s letter of instruction, AES filing, etc.) to assure compliance with Export Administration Regulations as defined by the U.S. Department of Commerce, and other regulatory agencies such as DEA, FDA, and IATA. Keeps updated on changing export regulations (US & country specific) to ensure appropriate documentation meets country requirements to avoid any fines, penalties, or import delays. Understands multiple international documents, certifications, and legal shipping terms such as, but not limited to: Regulatory Compliance (Country Specific), Import License, Customs Harmonized Tariff Codes, Specific Shipping Instructions, Carriers, Insurance, NAFTA Forms, Incoterms, etc. Works directly with broker on any additional documents/information needed for customs clearance and/or FDA release. Completes necessary DEA forms to import/export controlled substances (DEA 236, 357, 486 forms). Works with carrier to resolve any issues with damaged, lost, or delayed product. Ensures accurate record keeping and maintains import and export documentation/files. Approves freight bills. Prepares invoices for freight charges for EXW customers that Siegfried prepaid. Performs outbound deliveries, invoices, and shipping documents. Communicates and follows up with US and overseas customers regarding product availability, status of orders, price quotes, product inquiries, complaints, shipping status, returns, etc. Coordinates all hazmat shipments for all departments including lab samples. Is responsible for handling all returns including raw materials, failing material, intercompany returns, palladium shipments for recovery, and intermediates for all Siegfried sites. Acts as liaison between CS, QA, and shipping to ensure on‑time delivery of product to customers. Material Movement Organizes and files all pertinent production documents. Orders supplies from the warehouse for production. Enters all raw material usage data for production and wastewater into SAP. Orders all raw materials/intermediates from the warehouse for use in batch processing. Required Education and Experience An A.S. Degree in Business Administration or equivalent. A minimum of 1–3 years of experience in customer service. Experience with the SAP system is a big plus. Knowledge of cGMP practices is a plus.
