Join the Minnesota Department of Health's Facilities Management team in a position designed to provide reception and customer service support in the Freeman Office Building located in St. Paul, MN and for the Departments of Health, Agriculture, and the Board of Animal Health. This position acts also as the receptionist for the Ag/Health Lab Building located next door. This position may also provide backup services for Facilities Management Division service lines in the Metro buildings.

Working as a Customer Service Specialist you will:

  • Provide receptionist support services for all agencies within the Freeman and Lab buildings Monday through Friday between the hours of 8:00 a.m. - 4:30 p.m.
  • Provide general reception and telephone support services.
  • Direct and refer visitors.
  • Present a positive image to employees and the public.
  • Deliver messages and other essential information to employees.
  • Answer the agency's general information line and direct callers to the appropriate agency staff in a courteous and professional manner.
  • Provide administrative support for front desk activities to ensure that front desk goals and objectives are met in a timely, professional, and efficient manner.
  • Serve as the first point of contact for building access in the security system of the Freeman and Lab Buildings.
  • Provide reservation services for conference rooms in the Freeman Building.
  • Perform tasks as assigned by Supervisor in support of team activities or accomplish the goals Freeman/Lab operations.

Minimum Qualifications

  • Customer service skills sufficient to provide prompt, courteous and accurate information to a variety of customers over the phone, in person and via email.
  • Skill in typing/keyboarding, using Microsoft Work or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner.
  • Data entry skills sufficient to create database records and update entries ina timely manner.
  • Word processing and spreadsheet skills to develop and modify a variety or correspondence, records and reports using software applications (such as. MS Word & Excel).
  • Communication/English language skills (written, oral, and ability to read) sufficient to answer phones, read correspondence, and write memos using appropriate professional language.

Preferred Qualifications

  • Experience providing superb customer service to evaluate internal and external customer needs, manage stressful situations, and ensure that customer questions are answered.
  • Experience exercising good judgement as it relates to matters of confidentiality.
  • Ability to manage competing priorities and ensure tasks are completed accurately and efficiently.
  • Ability to work independently in addition to working cooperatively and effectively as part of a team.
  • Ability to carry out oral and/or written instructions and provide instruction to others.
  • Knowledge and experience with a variety of software and office technology systems.
  • Ability to research information, analyze reports and convey pertinent information.
  • Ability to problem solve and use good judgment in daily work.
  • Ability to prioritize workload to meet deadlines with strong attention to detail.
  • Ability to use organizational skills to ensure that admin processes are operating efficiently.

Physical Requirements

  • This position requires occasional lifting of up to 25 pounds of such articles as file boxes.
  • Physical demands include lifting, twisting, standing, sitting, and pulling to perform job duties.

This position requires successful completion of a background check and employment reference check.
