Position: Customer Service Specialist

Payrate: $25/hr on w2

Work Hours: M-F 8am to 5pm

Job Description:

Position Summary:

Duties & Responsibilities:

  • Ensure availability of up to date and accurate Customers and items information including pricing (master data) to allow for an efficient and accurate order and invoicing process at all times.
  • Process Customers orders (via e-mail, fax, EDI), including verifying details (items, prices, quantities, delivery date) in line with predefined processes and timelines, all through confirmation and invoicing.
  • Follow through with all Customer issues that arise ensuring prompt and efficient resolution. Handle Customer inquiries, requests, and complaints.
  • Coordinate and communicate with internal interfaces in all Customer-related matters, in particular Customers orders (sales, accounting, logistics, manufacturing, quality).
  • Prepare monthly commissions for brokers and submit to responsible Account Manager for approval prior to payment.
  • Prepare and organize shipment of samples according to instructions of the responsible Account Manager.
  • Archive related files and documents.
  • Prepare necessary documentation incl. certificates for export.
  • Supports with the collection of open Accounts Receivables.
  • Other tasks in accordance with business needs, as instructed by the supervisor.

Qualifications/Minimum Requirements:

  • 3 to 5 years of experience in a manufacturing setting; experience in the food industry preferred.
  • Bilingual in English and Spanish.
  • Previous experience in Consumer Goods (CPG) preferred.
  • High School or equivalent experience.
  • Proficiency with ERP systems and QuickBooks is a plus.
  • Excellent written and verbal communication skills, including active listening.
  • Detail-oriented with a proactive approach to handling customer requests.
  • Service-oriented with the ability to resolve customer grievances effectively.
  • Proficient in Microsoft Office; ability to learn new software.
  • Ability to work in a fast-paced environment and handle multiple tasks under pressure.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift to 15 pounds occasionally.

English speaking and understanding required for safety purposes: Yes
