Position Description:
This position will provide direct executive level support to the director, clinical and research faculty for the Division of Gastroenterology, Hepatology, and Nutrition. On the clinical side of operations this position will work as liaison with the CBO and clinic manager and the research side of operations will be a liaison for the center grants. For both clinical and research will maintain schedules, correspondence, booking travel, processing expense transfers, and event planning.
Perform general office duties including ordering supplies, filing, answering telephone, greeting visitors, maintaining equipment, scheduling meetings, etc. Prepares, proofreads, and distributes office communications. Maintains mailing lists; processes incoming and outgoing mail. Assists with financial business involving procurement cards and purchases. Process payments in OnBase and PeopleSoft while ensuring card usage follows University policy. Works with the CBO and clinical faculty to ensure that billing is beign process in a timely maner. Coordinate with internal and external contacts to schedule and plan meetings, conferences, retreats, and other events, including setting up physical and virtual spaces, preparing professional materials for distribution, and any other tasks required for events. Enters program data; prepares program reports. Prepare travel arrangements and other related tasks for the division faculty, staff and guests. Completing reimbursements after travel, and serving as the point of contact during visitors' time in Louisville. Work with division chiefs, directors, and other individuals to coordinate details for faculty recruitment including creating itineraries for recruitment visits, booking travel arrangements, serving as a point of contact for the recruit during their visit, and processing reimbursements for any out-of-pocket expenses related to the recruitment. Provide backup for other administrative staff when they are out of the office, including Workday tasks, ProCard purchases, and PeopleSoft Financials transactions, Medhub scheduling. $27.85
Target Compensation Minimum:
$18.56
Compensation will be commensurate to candidate experience.
