Bayfield County Clerk Of Circuit Court/Register In ProbateThe purpose of this position is to work directly with the Bayfield County Clerk of Circuit Court/Register in Probate to ensure the responsibilities and duties of the office are maintained at a professional level, and according to the Wisconsin State Statutes. This position is appointed by the Clerk of Circuit Court as so stated in Wisconsin State Statute 59.40(1)(a). Examples of duties include: Case manager for all criminal and juvenile case types, which includes filing of all new cases through CCAP interfaced with the District Attorney's Protect Software; clerk court activities in court as requested by supervisor, this includes taking the minutes, administering oaths to witnesses, marking exhibits and operating courtroom technology/audio equipment. Preparing all court ordered documents for the court's signature as needed for criminal and juvenile cases, and forwarding to the appropriate court official electronically through CCAP; preparing warrants or capiases for responsible case types, monitoring these warrants and preparing monthly warrant lists for Bayfield County Dispatch; preparing all judgments of conviction on criminal cases and routing to appropriate agencies and individuals. Responsible for filing, docketing and scanning incoming documents for responsible case types; scheduling all activities for criminal and juvenile cases through CCAP; monitoring weekly calendars and preparing all criminal and juvenile cases for each court activity. Backup receptionist - this includes various duties, including advising customers who to see in this office, referring customers to other offices and assisting them with their questions; canceling warrants in CCAP as ordered by the court and notifying Bayfield County Dispatch to ensure limited liability to Bayfield County; taking civil judgments on all criminal non-payment cases; preparing bail/bond forms for defendants. Will be required to take and pass the notary exam and become a notary, will notarize documents as needed; work directly with probate and guardianship cases in all aspects in the absence of the Register in Probate; process passports; including accepting applications, verifying completeness, submitting oath to applicants, accept documentation needed, assemble documents according to Federal Government Procedures, prepare transmittal sheets and mail applications with assembled documentation to Passport Agency in traceable media. Employee must study and pass testing for continued agent status on an annual basis; complete manual adjustments pertaining to bookkeeping duties with the Clerk of Court; participate in the budgeting process for the Circuit Court, Family Court Commissioner Clerk of Circuit Court and Register in Probate office budgets; answer telephone in rotation with Clerk of Court staff; prepare certified copies of documents as requested and accept appropriate fees; assist in checking in jurors for jury trials, including answering their questions and giving them directions as backup to the Judicial Assistant; do back-up for the other staff members in their absence, if necessary; collecting and receipting court fees, fines, restitution and bail bonds; all other duties as requested by the Clerk of Circuit Court/Register in Probate.Qualifications: 2-year associate degree with office administration focus, 4 years related work experience. Work experience includes proficiency in secretarial skills with emphasis in automated computer bookkeeping, efficiency in Microsoft Word, Excel, Outlook, automated calendar and data base entry. Legal secretarial skills or legal background preferred.
