Dispatch Operations Manager – Position Summary:

Professional Transportation, Inc. is hiring a Dispatch Operations Manager / Transportation Manager / Fleet Operations Manager in Gilllette, Wyoming. This role is responsible for crew transportation logistics, dispatch operations, fleet management, and scheduling for railroad personnel. The manager coordinates drivers, monitors vehicle movements with GPS and transportation management systems, and ensures crews arrive safely and on time. The position requires strong logistics planning, problem-solving, and communication skills, along with the ability to manage multiple transportation demands in a fast-paced environment. Candidates with experience in railroad operations, dispatch coordination, or fleet management are highly encouraged to apply.

This role operates on-site with 12-hour rotating shifts, including alternating weekends, and offers room for career growth within the company.

Key Responsibilities:

Transportation Dispatch & Coordination

  • Oversee and coordinate crew transportation and logistics operations across the assigned territory.
  • Ensure timely pickup and delivery of railroad personnel according to operational schedules.
  • Monitor vehicle locations, fleet status, and trip progress using dispatch software and GPS tracking systems.
  • Adjust routes, schedules, and trip assignments to prevent delays and optimize operational efficiency.
  • Provide clear, precise instructions to drivers and operational staff via phone and electronic communication.
  • Manage multiple transportation and dispatch operations simultaneously while maintaining high service quality.
  • Track fleet movements, vehicle status, and crew schedules in a fast-paced logistics environment.

Territory Management & Planning

  • Maintain detailed knowledge of assigned territory, including railroad routes, crew schedules, and environmental conditions.
  • Develop and implement transportation and logistics plans for time-sensitive crew movements and special operations.
  • Allocate vehicles and drivers strategically to maximize fleet utilization and transportation efficiency.
  • Communicate operational updates, route changes, and safety alerts with drivers and management.

Safety, Compliance & Documentation

  • Ensure compliance with company safety policies, federal regulations, and railroad transportation standards.
  • Maintain accurate electronic records of dispatch operations, vehicle movements, trip assignments, and incidents.
  • Document and report operational irregularities, safety concerns, or service interruptions.
  • Monitor key performance metrics such as on-time delivery, crew satisfaction, and service reliability.
  • Maintain composure and sound judgment during emergency situations or critical weather events.

Problem Solving & Continuous Improvement

  • Identify and resolve operational challenges in real time by evaluating transportation resources and logistics workflows.
  • Recommend and implement process improvements to enhance fleet management, route efficiency, and service quality.
  • Maintain strong organizational standards and accountability for operational results.

Collaboration & Communication

  • Communicate effectively with drivers, railroad personnel, customers, and internal operations teams.
  • Coordinate with field operations and management to ensure aligned priorities and smooth execution of transportation logistics.
  • Escalate critical issues appropriately while maintaining independent decision-making authority.
  • Address conflicts professionally and provide actionable feedback when resolving operational challenges.

Quality & Customer Service

  • Deliver world-class customer service to internal and external stakeholders.
  • Participate in the company’s quality improvement initiatives to optimize operations and service delivery.
