PRINCIPLE DUTIES AND RESPONSIBILITIES

This job description is intended as a guide to the main responsibilities of the post and not as an exhaustive list of duties and tasks. The post holder may be required to undertake other appropriate duties which are not listed below, at the direction of the Project Manager/HCLD/Laboratory Supervisor. The job description may be amended from time to time after consultation with the post holder. The job description will be reviewed at staff appraisals.

FULL JOB DESCRIPTION

JOB SUMMARY: The role of a Donor Recruitment Coordinator involves providing general and administrative support to the laboratory and sperm donation program, overseeing and coordinating the donation process, and interacting with sperm donors. This includes managing the donor screening and selection process, coordinating donor appointments and procedures, ensuring compliance with regulations and ethical guidelines, and providing support and education to sperm donors. Additionally, the coordinator is also responsible for maintaining accurate records, managing donor databases, and ensuring confidentiality and privacy. They will collaborate with medical professionals, laboratory personnel, and other fertility team members to ensure efficient and successful sperm donation programs.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES:

  • Provides high quality interaction with donors, ensuring a donor-centered environment.
  • Acts as initial point of contact for potential donors by answering incoming phone calls, email correspondence and scheduling potential donor appointments (if applicable).
  • Assists with enquiries conversion, including: follow-up with potential donor applicants via text/email/phone to answer questions and establish potential donor appointments
  • Performs virtual potential donor appointments. Virtual potential donor appointments will include: a medical social history interview and general Q+A session about the program.
  • Oversee donor payroll

Maintains donor calendar:

  • Checks in donors, which includes ensuring that donors are properly identified, specimen cups are properly labeled, and paperwork is completed by the donor
  • Informs donors of any applicable notifications, including but not limited to blood draws, urine collection, and physicals

Donor Coordinator Assistance:

  • Assists with monitoring qualified donors including inactivity, vial limits, blood draws, and physical examinations
  • Assists with monitoring next to last and final blood draws, and contacts donors as necessary (if applicable)
  • Assists with chart scanning and other tasks related to chart management
  • Assists with sorting and mailing of donor checks (when applicable).
  • Assists with preparing donor paperwork (e.g. for physical examinations).
  • Provides coverage for the donor desk as necessary.
  • Provides back-up coverage for overall branch operations as necessary.
  • Oversees department supplies, including forms, donor refreshments, office supplies, movie tickets, and gift certificates.
  • Works weekends, holidays and extended hours as required.
  • Performs assignments as requested by the lab supervisor/HCLD/Project Manager
  • Other administrative duties and clerical tasks (such as data entry, filing, photocopying, scanning and collating) as necessary.
  • Provides input and suggestions for social media platforms to engage donors and encourage inquiries, and communicates new ideas and recruitment campaigns with staff.
  • Other duties and projects as required.

Education and/or Experience:

  • Bachelors or Associate degree
  • Two years related experience and/or training (preferred)
  • Familiarity with laboratory and medical terminology (preferred)
  • Able to safely and accurately draw blood samples and/or perform physical examinations (preferred)

Other:

  • Proficiency in Microsoft Outlook, Word, and Excel
  • Capable of managing projects and providing excellent customer service
  • Ability to interact effectively with donors, peers, and management
  • Ability to compose, type, and proofread materials with a high level of attention to detail
  • Excellent organizational and time management skills
