THE ROLE:

As a vital part of our global business support team, you’ll provide administrative assistance across various regions. As the go-to person in the office, you’ll always be ready to help, no matter the question. Your commitment is to seek answers and support colleagues in achieving business objectives. 

Key Responsibilities

  1. Document Production and Quality Assurance: 

o    Create, amend, and format reports, presentations, proposals, graphics materials, and other relevant business documents. 

o    Review documents for accuracy, completeness, and consistency. 

o    Ensure proper spelling, grammar, and formatting. 

  1. Project and Administrative Assistance: 

o    Provide support for administrative tasks. 

o    Take ownership of issues, coordinate solutions, and rectify matters efficiently. 

o    Offer project support as needed. 

  1. Document Management and Ownership: 

o    Ensure correct document storage and user permissions. 

o    Assist colleagues with research and locating supporting documents. 

  1. Contractor Management: 

o    Maintain the contractor register and contracts. 

  1. Office Maintenance and Coordination: 

o    Liaise with suppliers and landlords. 

o    Manage relationships with external partners. 

o    Keep the office space clean, functional, and well-organized. 

o    Maintain office supplies. 

  1. Event Planning: 

o    Lead the planning and organization of internal and external events. 

 

Requirements

Skills and Experience:

  • Ability to work quickly and accurately on reports, presentations, proposals, graphics materials, and other relevant business documents. 
  • Knowledge of Visual Basic for Applications. 
  • Previous experience in a similar professional services role. 
  • Expertise in Microsoft Office products. 
  • Intermediate or expert proficiency in Visio, Photoshop, Illustrator, and Acrobat. 
  • Willingness to explore new ideas, technology, and standards. 
  • Active engagement in training and staff review and development processes. 
  • Attention to detail, customer focus, and flexibility.
