Job Summary:
The Department of Ophthalmology has an open position for an entry business services professional. Thisfull-time, University Staff (non-classified) position is responsible for high-level business operations support in the Department ofOphthalmology. Responsibilities for this position include providing high level business and administrative support for clinical faculty andclinical programs on a variety of tasks including, but not limited to, managing and coordinating faculty calendars, scheduling meetings,assisting with travel arrangements and travel reimbursements. This role will manage faculty schedules in QGenda and ensure that allschedules are entered correctly and communicated to all stakeholders. The individual in this position will work both independently and incollaboration with faculty and program leadership. Specific priorities and duties of this position may change as the operational structureand administrative needs evolve. In addition, this position will provide cross coverage for other administrative staff positions as needed.

Key Responsibilities:
  • Overall management of QGenda fordepartment to ensure accuracy.
  • Review all schedule changes to include, vacation/sicktime, education time, med legal, holidays, etc.
  • Communicate all clinic closures tohospital management team.
  • Provide support for faculty and participate in sharedduties of support staff.
  • Provide phone coverage for main office line.
  • Process and support faculty credentialing and recredentialing.
  • Monitor and support centralized ticketing system for administrative requests.
Work Location:
Hybrid this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-personmeetings.

Qualifications:
Minimum Qualifications:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcareadministration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may besubstituted for the bachelor's degree on a year-for-year basis.

Preferred Qualifications:
  • Four (4) or more years of experience managing day-to-day administrative operations.
  • Experienceproviding administrative and technical assistance to faculty and staff within an academic medical environment.
  • Experience coordinating travel and related purchasing and expense reimbursements.
  • Experienceworking in a healthcare or academic setting.
  • Experience working with UCD software such as Marketplaceand Concur.
Knowledge, Skills, and Abilities:
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish andmaintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
