PROGRAM DESCRIPTION: Extended School Year (ESY) offers specialized services to students with disabilities. The decision to provide ESY is made by the IEP Team, who assesses the necessity to minimize substantial regression and reduce substantial recoupment, ensuring effective progress for the students. The IEP Team also evaluates the level of needs and recommends specific IEP services during ESY based on individual student requirements. The determination of ESY services is made according to the IEP Team's identification, focusing on the students' individual needs and aligning with the delivery of targeted ESY goals and objectives.

REPORTS TO:
Position reports to the Director of Extended School Year and Expanded Learning in the Office of Special Education. For questions about this position, please email esy-hiring@bostonpublicschools.org.

PROGRAM SCHEDULE:
The instructional hours for students are 5 hours per day, 5 days per week, for 5 weeks from July 8 to August 9, 2024.

The Site Coordinator (Large Site) is expected to:
  • Ensure that ESY IEP goals and objectives and services are provided in accordance with individualized students IEPs and the completion of progress reports
  • Be on-site and supervise the program for a 7-hour day, 5 days per week for the weeks of the summer program.
  • Arrive a minimum of 1 hour before the start time of the instructional day each morning.
  • Stay on-site until all students have been dismissed for the day given that students will not return back to the school (due to late/missed buses, student returning back to the school as a result of no parent/guardian is home to accept the student etc).
  • Complete all hiring and set-up activities prior to the start of the program, and closing activities at the end of the program (see list of responsibilities below) in accordance with ESY timeline.
  • Attend career fair interview sessions prior to the start of the program.
  • Attend designated ESY team meetings in spring and organize and attend designated ESY Professional Development (PD) on June 26 and June 27, 2024.
  • Be available to participate in planning activities immediately upon hiring.
  • Ensure that the collection of all summer teaching materials and resources are available for each classroom and create a system to receive, pack up, and unpack materials before the program starts and after the conclusion of ESY.

RESPONSIBILITIES:
    • Ensure the fidelity of rigorous teaching strategies and the delivery of ESY IEP services
    • ESY site leader for instructional support to ensure the fidelity of academic, related and social emotional services are provided with fidelity
    • Oversee building-wide ESY planning and programming at a program site with excellent organizational and time management skills

  • Oversee delivery of instruction to prevent significant regression and reduce significant recoupment time
  • Oversee the development of student socio-emotional skills and increase student efficacy by building skills and competencies
  • Oversee the promotion of student safety, health and wellness
  • Create a team-oriented culture to increase staff engagement in student outcomes.
  • Supervise and evaluate all site staff
  • Serve as site lead for instructional support
  • Oversee operational management for programming

Specific duties may include, but are not limited to:
    • Provide leadership and management at one program site

  • Participate in the interviewing and hiring of teachers, paraprofessionals, and support staff
  • Manage site enrollment data and assign students to classrooms via appropriate groupings and prepare building schedules for activity blocks and common spaces
  • Support efforts to engage students in the ESY program
  • Monitor the delivery of behavioral support plans, safety plans and ABA services are delivered as recommended by students IEPs
  • Supervise instruction, services, and the monitoring of student regression and progress
  • Supervise completion of ESY progress reports per approved ESY data systems
  • Support high-quality instruction by facilitating professional development, modeling instructional practices, observing instruction, and providing feedback
  • Engage and collaborate with families as partners in planning and problem-solving and take a proactive approach to family engagement
  • Establish a safe and welcoming learning environment for students, families, and staff
  • Manage student and staff information using approved ESY data systems (e.g. attendance, daily schedules, payroll, and timesheets, etc.)
  • Coordinate with related service providers to ensure appropriate student and staff schedules
  • Follow ESY protocols for loading and unloading buses and for ensuring student and staff safety throughout the program, including daily preparation of bus labels and lists
  • Adhere to ESY handbook policy and ensure compliance with policy across the site
  • Adhere to Superintendent Circulars, particularly with respect to student safety, and emphasize the importance of these policies to all staff
  • Demonstrate understanding of the Special Education Handbook, including standard protocols and procedures for students with disabilities
  • Maintain confidentiality and privacy of all student-specific information
  • Complete all assignments in a timely fashion
  • Monitor and respond to email, gChat, and phones closely (starting at the point of hire and concluding the week after ESY) for communication from the Central Office, ESY staff, and from families
  • Demonstrate completion of other critical tasks and duties as requested by any ABA Program Director, Assistant Director of Special Education, Director of Operations & Service Implementation, Director of Extended School Year & Expanded Learning, and/or Chief and Deputy Chiefs of Special Education

TERMS:

  • Hourly rate of $56.81. Anticipated total of 250 hours, including 175 hours on-site during the summer program, and up to 75 hours (for a total amount of up to $14,202.50) including :

  • Attend career fair interview sessions prior to the start of the program: (up to 20 hours no less than 10 hours)
  • You will get 3 hours per career fair with a total expectation of attending 10 career fairs totaling 30 hours.
  • Verification of adequate staffing by the Director of Extended Year or designated administrator
  • Attend designated ESY team meetings/Site Coordinator PD continuous: (up to 20 hours)
  • Includes attendance at meetings and preparation time.
  • 10 meetings, twice a month lasting 2 hours in length
  • Attend designated all staff ESY Professional Development (PD) dates in late June: (up to 7.5 hours)
  • Preparation and attendance at the PD sessions.
  • Receive, pack up, and unpack materials before the program starts and after the conclusion of ESY:
  • This includes receiving materials, packing, unpacking, and setting up before and after ESY. (up to 2.5)
  • Attend/Manage Open House (up to 5 hours)
  • Supervise completion of ESY Progress Reports (guidelines) per approved ESY data systems: (up to 10 hours)
  • Time allocated to oversee and ensure the completion of progress reports as per the approved systems. The full 10 hours will be approved once all Progress Reports are finalized and batch-printed.

  • Additional duties as required for site operational success: (up to 10 hours)
  • Site walk through, class building, staff assignments, family outreach, etc.

    • Payroll will be processed on a biweekly basis after receipt of completed timesheets in accordance with the BPS summer payroll schedule. A subset of hours will be paid as a stipend, particularly if they occur outside of the summer program dates and/or if they are paid for the completion of tasks such as PD Demonstration of Understanding or Progress Reports.
    • All employees must read and agree to the BPS 2024 Summer Program Terms of Employment.

QUALIFICATIONS - REQUIRED:
  • Bachelors degree.
  • Massachusetts Educator License in Moderate Disabilities, Severe Disabilities, Early Childhood, Special Education, and/or Special Education Administrator and/or Certification or Licensure as a Behavior Analyst, Licensed Mental Health Counselor or Social Worker, Psychologist, Speech Therapist, or Occupational Therapist.
  • Supervisory experience and demonstrated ability to, manage, and supervise staff as well as maintaining safety protocols for students and staff .
  • Ability to utilize Google Docs, Google Sheets, and Google Forms and/or commitment to learning the Google systems rapidly.
  • Current Safety-care certification.
  • Demonstrated ability to serve as an instructional leader given the essential skills to supervise educators, support staff and provide constructive feedback, and foster collaboration.
  • Current authorization to work in the United States. Candidates must have such authorization by their first day of employment.

QUALIFICATIONS - PREFERRED:
  • Minimum of five years Teaching and/or administrative experience
  • Current teacher or administrator in the Boston Public Schools and/or another school district or private school
  • Prior experience working in the role of a supervisor in a BPS ESY program or another school district.
