The GGCC seeks a detail-oriented individual for the position of Events & Communications Manager. The Events & Communications Manager is responsible for coordinating networking events for the GGCC, producing marketing materials, writing the weekly e-newsletters and quarterly newsletter, social media content creation and scheduling, and other related duties. The Events & Communications Manager works closely with and reports to the President & CEO, and jointly works on events for the GGCC and the GGCC Community Foundation.
This role is ideal for a candidate with 2-5 years of experience that includes stakeholder outreach and social media marketing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Event Planning:
- Manage routine networking events and other special events from the planning stage through event follow-up.
- For Signature event series, liaise with the GGCC Events Committee and GGCC Community Foundation Board for volunteer and logistics support.
- For larger events, help secure sponsors, locations, and caterers.
- Review contracts regarding events for CEO signature.
- Maintain the website event calendar.
- Develop and distribute appropriate marketing materials for events.
- Monitor event registration and report numbers to appropriate sources (caterer, hotel, etc.).
- Track registrations through the website, phone calls, and emails.
- Responsible for event checklists for each event.
- Keep accurate notes/paperwork on each event and maintain the event spreadsheet, including projected attendance and revenues.
- Organize administrative event needs with registration information, name badges, walk-in sheets, etc.
- Develop and provide an agenda for those involved in the event and collect door prizes.
Networking Events -- During the Event:
- Manage the registration table for all GGCC networking events, including breakfasts, lunches, and special workshops or other membership activities.
- Process credit cards for paid events.
Networking Events -- After the Event:
- Record final event attendance in the database.
- Thank-you letters, attendance lists to sponsors, checking with bookkeeper to ensure proper invoicing and collections.
- Event registration/revenue reconciliation in collaboration with CEO.
- Review final invoices and compare with contract before submitting for approval.
Marketing Responsibilities:
- Review and update visual displays for GGCC activities, e.g. signage.
- Broadcast weekly e-blast newsletters.
- Design and write quarterly report.
- Develop marketing materials, including, but not limited to press releases and event flyers.
- Maintain media list.
- Conduct periodic member surveys, tally results, and produce report.
- Monitor and update GGCC website and social media pages.
Ribbon-cuttings:
- Coordinate all the activities for ribbon-cutting ceremonies, including ensuring materials are ready and present for the ceremony.
- Issue invitations to the Board of Directors and public officials in a timely fashion.
- Request citations from public officials.
Awards Programs:
- Order plaques for awardees and assist CEO in coordinating scoring panels as relevant.
Staff Liaison to the following committees:
- Events, Young Professionals Group.
- Database entries for event and committee registrants' event setup.
Other General Office Duties:
- Take photos for social media and e-blast newsletter at CGGCC events and activities.
- Maintain photo archive.
- Print and distribute mailing labels to event sponsors upon request.
- Order board badges.
- Certificates of Origin - Process and take payment for Certificates of Origin as requested.
- Maintain supplies for networking events.
- Other duties as assigned by the President & CEO.
REQUIRED EDUCATION, SKILLS, EXPERIENCE:
- 2-5 years experience in similar field including stakeholder outreach;
- Strong communication skills, including with social media and written communication to stakeholders;
- Strong organizational skills, using a reliable task management system to maintain order of all current and future responsibilities;
- Strong customer service experience;
- Ability to work well in a small-team environment;
- Ability to organize effectively to manage cycles of many events simultaneously;
- Previous experience with sales databases preferred (GGCC uses CCA);
- Computer literacy (specifically Microsoft Suite of products);
- Some experience with WordPress is helpful;
- Some experience with the design program Canva and managing email campaigns (Constant Contact, MailChimp or something similar).
PREFERRED EDUCATION, SKILLS, EXPERIENCE:
- Bachelor's Degree in relevant field - communications, media, marketing, or similar;
- 1-2 years experience working in a nonprofit organization;
- 1-2 years experience managing volunteers;
- Spanish language ability.
WORK ENVIRONMENT:
GGCC is a typical office environment, located on the 2nd floor of an office building. Elevator-accessible.Events are held periodically in the early morning or evening hours at various venues in the Upcounty region of Montgomery County.You will need reliable transportation.
SCHEDULE:
- 40 hours per week worked largely between 9am-5pm except for planned breakfast or after-hours events (flex schedule accordingly). Occasional weekend community events.
- Hybrid options negotiable; preference to be on-site at least 30 hours weekly to collaborate with team.
COMPENSATION & BENEFITS:
- $52,000-$55,000 annually
